Requirements

  • Candidates must have a minimum of 2+ years' administrative experience; legal experience a plus
  • Candidates must be computer literate and proficient with Microsoft Office
  • Familiarity with and prior use of document management systems a plus

Responsibilities

  • Works closely with attorneys, legal assistants and paralegals
  • Processing all outgoing subpoenas through certified mail for both offices, recording all tracking information after processed into ATO.
  • Responsible for all outgoing mail and FedExes for both offices.
  • Saving all incoming records, billing and etc. in response to subpoenas into ATO, updating subpoena memos with all information received. "Document management"
  • Scanning and forwarding all incoming mail for both offices.
  • Monitor Subpoena Inboxes & Fax Inboxes and upload all records into ATO.
  • Follow up with facilities regarding records, invoices, W-9s, radiology discs in response to subpoenas.
  • Duplicating records and radiology discs to send to experts to obtain CME reports when needed.
  • Assist with trial preparation and other projects when needed.
  • Oversee incoming settlement checks and assist with sending to Plaintiff.
  • Assist with phone coverage when needed.
  • Order office supplies and keep office maintained.
  • Communicate and arrange service with various vendors and building management when needed.
  • Other administrative/clerical tasks as needed
