About The Position

As a Legal Administrative Support Specialist at AmeriLife, you’ll help keep our corporate entity records accurate, current, and audit-ready. This is a great entry-level opportunity if you’re highly detail-oriented, enjoy organized work, and like partnering with others to get things done. You’ll collaborate with Legal and multiple business teams while learning how licensing and entity registrations work across states. This is a hybrid role based in our Clearwater, FL office, with an in-office schedule of three days per week.

  • Comfort gathering information, comparing sources, and summarizing what you found clearly.
  • Strong written and verbal communication (email, phone, and internal messaging).
  • Ability to prioritize tasks, manage deadlines, and stay organized in a fast-paced environment.
  • Comfort handling confidential and time-sensitive information with discretion and integrity.
  • Professional, calm approach when priorities shift or issues arise.
  • Strong customer-service mindset when partnering with internal teams and external agencies.
  • Organizational and time-management skills (you keep trackers up to date and follow through).

Nice To Haves

  • Prior office or administrative experience (internship, part-time, or full-time) is a plus.
  • Comfort using Microsoft Office (especially Outlook, Excel, and Word). Advanced skills are a plus.
  • Exposure to insurance licensing and/or entity registration processes.

Responsibilities

  • Prepare and submit initial, renewal, and change filings for entity and individual insurance licenses and state registrations (resident and non-resident).
  • Communicate with state insurance departments and Secretary of State offices to request information, resolve issues, and confirm approvals.
  • Update internal trackers and databases so deadlines, renewals, and status changes are accurately recorded.
  • Help maintain the Entity Database by entering data carefully and spotting inconsistencies before they become problems.
  • Support in-house attorneys and business partners with administrative requests (e.g., pulling records, confirming statuses, preparing documentation).
  • Follow up on open items and keep projects moving by tracking next steps, asking questions early, and meeting deadlines.
