We are seeking a Legal Administrative Assistant with real-world experience in a corporate law setting. This role is an immediate opening for a detail-oriented and organized candidate to join our dynamic legal team. The ideal candidate will possess strong administrative and analytical skills and a solid understanding of legal and related administrative procedures in an in-house legal environment. This role is crucial in providing support to our in-house Legal Department, and assisting with ensuring its continued smooth operation. The Legal Administrative Assistant will report to the Sr. Corporate Paralegal and work closely with the legal team staff in various areas. This role is primarily remote. Candidates located in the Bay Area are expected to come onsite to our Novato office on an as-needed basis.

  • Maintain all legal records, including digital and hard copies and electronic filings of legal documents and emails, and processing files for storage
  • Coordinate document preparation, mailings and paper and electronic filings, and related processes
  • Manage and monitor Certificate of Insurance (COI) and endorsements with external teams
  • Keep the team on track by calendaring critical deadlines
  • Liaison between various company stakeholders and outside parties
  • General administrative duties as assigned by legal staff
  • Coordinate meetings, conference calls, and travel arrangements.
  • Process and file invoices, check requests and maintain related payment records
  • AS or AA degree or equivalent certificate required, BS or BA preferred
  • Previous experience in law office or in-house legal department required
  • 4+ years of experience as a Legal Administrative Assistant, Legal Secretary or Law Clerk
  • Legal experience in intellectual property, international business, corporate governance or commercial litigation preferred but not required
  • Strong administrative skills and the ability to work under deadlines in a fast-paced environment; ability to coordinate multiple tasks concurrently
  • Strong organizational skills and attention to detail
  • Strong analytical skills, knowledge of legal processes and the desire to learn
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Proficiency in Google Workspace and related apps
  • Must be a team player with a positive attitude and willingness to follow internal procedures
  • Discretion in handling confidential and sensitive information
  • Experience with JIRA, Slack and Adobe is a plus
