The Legal Administrative Assistant position at Axinn Veltrop & Harkrider LLP involves providing essential clerical and administrative support under the supervision of the Office Administrator. The role is crucial for maintaining the efficiency of the office by managing calendars, scheduling meetings, and handling various administrative tasks. The assistant will work closely with attorneys and staff to ensure smooth operations and assist in legal documentation and correspondence.

  • Maintain calendar and contacts
  • Room scheduling/reservations for meetings
  • Meet and greet clients; arrange meetings including AV requirements
  • Track monthly expenses and prepare expense reports
  • Make travel arrangements
  • Respond to emails requesting assistance
  • Proofread documents upon attorney request
  • Perform photocopying, scanning, faxing, binding, and filing
  • Create tables of contents and tables of authorities
  • Prepare legal correspondence and electronic filings
  • Create and maintain client files
  • Prepare new client/matter forms and engagement letters
  • Create binders for cases
  • Track attorney bar/court admissions and CLE information
  • Conduct minor non-billable research for assigned attorneys
  • Enter attorney hours into time management system
  • Review and edit monthly prebills and draft cover letters
  • Provide minor personal work for a Partner
  • Provide back-up services for other admins or office personnel
  • Complete other duties and special projects as assigned
  • Associate's degree preferred
  • 2+ years general office experience required, prior law firm experience preferred
  • Excellent communication skills, both verbal and written
  • General knowledge of office equipment and tools
  • Strong Microsoft Office skills - Word, Excel, PowerPoint, Outlook
  • Ability to build rapport with attorneys and professional staff
  • Strong organizational skills with great attention to detail
  • Ability to work independently but within a team environment
