About the position

The leave of absence specialist position will play a critical role in managing employee leave, accommodations, and benefits administration. This position serves as the subject matter expert on leave policies, ADA accommodations, and workers’ compensation, ensuring compliance with federal and state regulations as well as internal policies. The role requires a detail-oriented and empathetic professional who can balance compliance with employee support while maintaining confidentiality and adhering to privacy laws. While primarily a remote position, the employee is required to attend monthly in-office meetings in Central office located in New York City, with additional in-person team meetings as needed.

Responsibilities

  • Serve as the subject matter expert on leave policies, ADA accommodations, and workers’ compensation.
  • Work closely with HR leadership, third-party leave administrators, payroll, and staff supervisors to facilitate smooth leave processes.
  • Support employees through the accommodations process and provide clear guidance on benefits enrollment and administration.
  • Manage all leave of absence (FMLA, STD, LTD, State Benefits, Workers’ Compensation) and ADA requests.
  • Maintain appropriate contact with all relevant staff on leave and coordinate all aspects of return to work for staff on leave.
  • Provide regular updates to HR Business Partner and staff supervisors on leaves and accommodations while adhering to HIPAA and other privacy laws.
  • Manage all administrative aspects of leave and workers’ compensation claims.
  • Assist with open enrollment and ensure staff are accurately enrolled in all voluntary and ancillary benefits.
  • Resolve employee issues with insurance providers.
  • Assist in developing benefits training for managers and staff.
  • Assist with developing/improving formal leave policies and procedures.
  • Develop leave reporting dashboard for HR and Management.
  • Provide ongoing support for the HR and Benefits Teams.
  • Other duties as assigned by supervisor on an as needed basis.

Requirements

  • 3-5 years of experience managing and administering employee leave programs.
  • Strong skillset in Microsoft Excel and PowerPoint; familiarity with SmartSheet is a plus.
  • Strong attention to detail.
  • Comfortable interacting with employees via email and phone.
  • Prior experience with Workday HRIS.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements.
  • Strong communication, interpersonal, and organizational skills.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple projects and deadlines.
