About The Position

This is a customer service position working to help the service department navigate the influx of customers as they come and go each day. It involves heavy administrative duties such as greeting customers, listening to their description of the problems or service needed and taking notes, accordingly, coordinating with the service department to determine the type of service required, and preparing repair orders. This candidate will also be responsible for relaying messages from the service department to the customer regarding Preventative Maintenance and scheduling that as needed.

Requirements

  • High School Diploma or GED equivalent
  • 2-3 years of related experience and/or training; or equivalent combination of education and experience.
  • Ability to clearly and effectively communicate with customers, both verbally and in writing.
  • Skilled in identifying issues and finding solutions to ensure customer satisfaction.
  • Ability to understand and address customer concerns with compassion and patience.
  • Efficient in managing time and prioritizing tasks to handle multiple customer inquiries.
  • Ability to work well in a team environment and collaborate with colleagues to resolve customer issues.
  • Maintaining a positive and professional demeanor, even in challenging situations.
  • Understanding of the company's products or services to provide accurate information and support to customers.

Responsibilities

  • Relay messages from the service department to customers about necessary maintenance and identified mechanical issues.
  • Greet customers warmly, obtain vehicle information, and schedule service appointments.
  • Conduct visual inspections and road tests as needed, and discuss inspection results with customers.
  • Prepare work orders, write descriptions of customer concerns, and explain performed work.
  • Refer to service history, recommend additional services, and notify the Service Manager of incoming work.
  • Check repair progress, contact customers about changes, and obtain authorization for additional repairs.
  • Maintain high standards of customer satisfaction and handle telephone inquiries regarding appointments and work in progress.
  • Attend company training as required and maintain a professional appearance.
  • Keep work area clean and organized
  • Other duties as assigned by management
