The Leasing Assistant provides crucial support to the Community Manager and Leasing Consultant(s) across all phases of the leasing cycle. The primary objective is to maintain high occupancy rates and ensure superior resident relations. This position actively supports the leasing function by managing phone and email correspondence, scheduling property visits, proactively engaging with new leads, and conducting follow-up communication with prospects and current residents. The role mandates exceptional communication proficiency, meticulous attention to detail, and an unwavering commitment to delivering superior customer service.

Requirements

  • High School Diploma or equivalent.
  • A minimum of one (1) year of experience in a customer service, administrative, or sales-related capacity.
  • Demonstrated strong organizational capabilities and exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Willingness and ability to work a flexible schedule, which may include weekend hours.

Nice To Haves

  • Prior experience in property management, leasing, or real estate.
  • Familiarity with fair housing laws and property management regulations.
  • Experience utilizing property management software systems (e.g., Yardi, RealPage, Entrata).

Responsibilities

  • Promptly and professionally manage all rental inquiries received via telephone, email, and in-person interactions.
  • Conduct engaging property tours for prospective residents, strategically showcasing community amenities and features to effectively communicate the property’s value proposition.
  • Assist in the comprehensive processing of rental applications, including applicant verification, credit and background screening, and the meticulous preparation of all official lease documentation.
  • Accurately track and maintain follow-up communications with all leads and prospects utilizing the designated property management software (e.g., Yardi, RealPage, Entrata).
  • Ensure all lease files and resident records are maintained accurately and with strict organizational standards.
  • Provide assistance with the preparation and scheduling of move-in and move-out procedures and documentation.
  • Contribute to community marketing initiatives, including the regular update of online listings, support for social media presence, and development of promotional materials.
  • Manage incoming telephone communications, triage general inquiries, and accurately direct calls to the appropriate personnel.
  • Maintain the professional appearance and organization of the front office to ensure a welcoming environment for residents and prospective clients.
  • Process rental payments, prepare daily bank deposits, and manage petty cash accounts in accordance with company policy.
  • Assist in the scheduling and coordination of maintenance requests and vendor services.
  • Conduct regular inspections of common areas and vacant units to uphold community appearance standards.
  • Manage inventory for all office supplies and marketing collateral.
  • Prepare and compile various reports and necessary documentation as directed by the Community Manager.
  • Serve as a primary contact, providing exceptional customer service to current and prospective residents, including timely and courteous resolution of all concerns and issues.
  • Assist in the conceptualization and execution of resident events and community engagement programs.
  • Act as a facilitator for positive and productive communication between residents and property management.
