About The Position

A Move-In Coordinator will support the leasing and onboarding process across our Aspendale active adult communities in Colorado. This position is based at Aspendale Centennial and requires flexibility to travel between multiple project sites as needed. The Move-In Coordinator plays a key role in enhancing the prospect experience and ensuring a smooth transition for new residents. Responsibilities include supporting tours, managing move-in logistics, coordinating with internal teams to ensure unit readiness, and maintaining consistent communication with depositors. This role also contributes to the community’s occupancy and retention goals by assisting with sales follow-up and marketing collateral. The ideal candidate is highly organized, personable, and customer-focused, with strong communication skills and the ability to adapt to change. Experience in leasing, hospitality, or senior housing is preferred. A flexible schedule and willingness to travel locally are essential.

Responsibilities

  • Assists with tours when needed.
  • Inspects tour path, model apartment(s), and leasing office on a regular basis to maximize appeal of the prospect experience.
  • Answers inquiry calls and internet inquiries when needed.
  • Utilizes Greystar CRM Lead2Lease to maintain an accurate and up-to-date prospect database.
  • Assists with daily, meaningful prospect follow-up.
  • Helps the team perform the required number of follow-up contacts in accordance with Greystar standards.
  • Coordinates prospect and depositor related creative follow up deliveries.
  • Organizes and ensures adequate supply of fully assembled sales collateral, marketing and outreach packets.
  • Maintains files and marketing materials for realtors, transition companies, and moving companies.
  • Participates in ensuring that Greystar sales and marketing program standards and benchmarks are being met.
  • Meets and greets residents and families on the day of move in and ensures smooth process.
  • Prepares and completes all paperwork related to new move-ins and renewals according to Greystar policy.
  • Processes applications, credit screening, and criminal background checks.
  • Coordinates the distribution of all Move-In paperwork to the appropriate personnel.
  • Coordinates and communicates unit readiness with appropriate personnel to ensure timely move-ins.
  • Sets up resident folders.
  • Assists with furniture measurements and placement.
  • Coordinates moving services.
  • Arranges for optimal coverage for all incoming inquiry calls and tours.
  • Establishes and maintains system for written phone messages.
  • Generates thank you letters and form letters for mailing mass brochures/flyers to prospects.
  • Prepares and circulates to staff each morning a daily overview of scheduled tours, move ins/move outs, and inventory ready to show.
  • Updates unit status daily on white board.
  • Assists in the completion of and submits to corporate all necessary reports.
