About The Position

The individual in this position will function as the liaison between the patient and the providers for all non-clinical issues including scheduling office visits and procedures within the clinics, communicating pre-appointment instructions and appointment confirmations, insurance verifications and/or pre-authorizations as necessary. The Lead Surgery Scheduler will NOT disseminate any clinical information such as diagnosis, test results or post care instructions. They must be able to analyze the faculty’s availability when scheduling patients for new patient visits and surgeries. Must understand the length of time needed for a particular visit type and schedule patient appropriately. They must be able to identify conflicts in these schedules, review them with the appropriate physician and resolve them in a timely manner. This position interacts with patients, faculty, scheduling staff, research staff, clinic staff, hospital and department administration, and insurance representatives daily in providing support for scheduling appointments and surgeries. This position may also support some administrative needs of assigned providers. This position will work under the direction of the Gynecologic Oncology Scheduling Supervisor.

Requirements

  • High School Diploma or GED.
  • Three (3) years of relevant experience in an occupation related to the work assigned to this position
  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years
  • Understanding of HIPAA practices and patient confidentiality.
  • Ability to maintain a positive attitude with clients, employees, and management.
  • Ability to work quickly – individually and as part of a team.
  • Ability to read, analyze, and interpret policies, documents, and regulations.
  • Must be detail-orientated and maintain excellent organizational skills.
  • Must be tech savvy (ability to understand, apply, and benefit from technology).
  • Ability to effectively communicate at all levels, including physicians, leadership, and staff.

Nice To Haves

  • Bilingual, Spanish-speaking.
  • Customer service or general administrative experience.
  • Experience with appointment scheduling and insurance verification.
  • EPIC experience.
  • MS Office experience.
  • Two (2) years or more of Surgical Scheduling experience in a Gynecologic Oncology clinic.
  • Surgical Schedule training experience within EPIC

Responsibilities

  • Assist and act as liaison for the Scheduling Supervisor in patient scheduling issues, training, education, communication and problem solving.
  • Provide orientation for all new surgical scheduling employees and other clinical staff who may need to learn scheduling functions.
  • Assist the Scheduling Supervisor with providing positive guidance, training, and monitoring of staff on processes of scheduling, and other patient scheduling functions.
  • Develop and maintain training and workflow documents for Surgery scheduling.
  • Recommend and advise Scheduling Supervisor on clinic related issues, problem occurrences, changes in activity, etc.
  • Schedule Urogynecology and Gynecologic Oncology operative cases as directed by supervisor, clinical providers and nursing staff.
  • Obtain surgery insurance authorizations.
  • Coordinate, track, and generate reports on OR block time, including all related communication with the hospitals
  • Assist with new patient visit scheduling and procure new patient medical records in a timely manner as needed.
  • Route correspondence to referring physicians and other appropriate care providers.
  • Share in answering incoming telephone calls from patients and referring physicians.
  • Serve as a liaison between patients and physicians for all non-clinical issues.
  • Complete referral and authorization checks.
  • Participate in staff meetings and trainings as required.
  • Generate patient quotes for procedures and surgeries.
  • Display a willingness to work collaboratively and cooperatively with all members of the Urogynecology and Gynecologic Oncology team.
  • Establishes and maintains effective working relationships with leadership, physicians, colleagues and patients, addresses concerns in a forthright manner.
  • Provide administrative support to Urogynecology and Gynecologic Oncology faculty as needed.
  • Perform broad range of high-level administrative duties as requested
