The Lead Scheduling Technical Assistant plays a key role in strategically securing and allocating resources for clients across multiple assigned regions within the organization. In this role, you will help ensure a smooth and positive experience for patients while enabling sonographers to focus on delivering exceptional care. By coordinating schedules and managing resources effectively, you will help keep clinic operations running seamlessly each day. The ideal candidate demonstrates strong interpersonal skills, proficiency with workforce management and scheduling tools, and experience working in a healthcare environment.

Responsibilities

Collaborate with the Resource Planning team and Clinical Directors to assess staffing needs and allocate resources across assigned regions.
Coordinate and manage scheduling to ensure appropriate coverage and efficient use of clinical resources.
Maintain accurate records of resource allocation and track utilization across customers and regions.
Monitor schedules and make adjustments as needed to support customer success and operational efficiency.
Analyze resource utilization data to identify trends and recommend process improvements.
Communicate scheduling updates and resource allocation plans to relevant stakeholders.
Participate in a rotating on-call schedule to address last-minute schedule changes such as callouts.
Master the Technical Assistant role and help delegate responsibilities within the clinic, including team training, equipment maintenance, and daily quality assurance.
Conduct daily audits of sonographer invoices and submit appropriate CTX clinic fees based on findings.
Serve as a liaison between the Technical Assistant team and the Director of Clinical Services to ensure clear communication and coordination.
Act as a point of contact for physicians, nurses, sonographers, and scheduling staff while representing BB Imaging professionally.
Support administrative tasks including managing invoices, tracking mileage reimbursements, expense receipts, and time punches.
Provide on-site support during staffing shortages and assist in resolving issues raised by physicians, employees, or patients.
Assist with onboarding and training new team members and provide feedback to leadership to support staff development.
Support special projects and additional administrative tasks as assigned by leadership.
