About The Position

The Lead Purchasing Agent performs the full range of purchasing duties while providing day-to-day leadership and guidance to other Purchasing Agents. This role ensures the timely, cost-effective, and accurate procurement of quality products following departmental and resort standards. Working closely with the Purchasing Manager, the Lead monitors workflow, supports training, and upholds established procedures. The ideal candidate demonstrates strong product knowledge, communication skills, and attention to detail, balancing independent work with team leadership responsibilities.

Requirements

  • Degree or equivalent work experience with warehouse, inventory control, or purchasing
  • At least 1 year of accounts payable experience
  • At least 2 years of warehouse experience; preferably receiving
  • At least 2 years of inventory and purchasing experience with food and beverage emphasis; golf and hospitality industry experience preferred
  • Knowledge of purchasing policies, processes, quality control policies and procedures and accounting basics
  • Demonstrated ability to multitask and take direction
  • Demonstrated quality interpersonal communication skills with all staff members and/or customers; maintain constructive and cooperating working relationship
  • Ability to analyze and present data to justify changes
  • Ability to analyze and solve problems; efficiently and handle multiple duties under pressure with minimal supervision and meet required deadlines; work flexible hours as required including nights/weekends
  • Positive attitude, professional manner and appearance in all situations
  • Perform basic mathematics
  • Proficient with RedRock Software or other purchasing software
  • Competent with Microsoft Excel and Word
  • Ability to follow verbal and/or written instructions with minimal supervision
  • Must have ability to read and interpret documents, memos communication logs, safety rules, operating and procedure manuals
  • Valid drivers license and be over 18 years of age

Responsibilities

  • Perform daily purchasing functions, including creating POs, vendor communication, and product sourcing.
  • Source goods through group purchasing contracts and approved vendor catalogs.
  • Maintain a streamlined product catalog to reduce redundancy and improve cost control.
  • Maintain accurate forecasting and par levels to support operational readiness and cost efficiency.
  • Apply and uphold purchasing SOPs and workflows to ensure clarity and consistency.
  • Ensure accurate item setup with consistent naming, units of measure, and GL mapping.
  • Review and analyze purchasing reports to identify trends, cost opportunities, or procedural gaps.
  • Support Inventory Control with forecasting and maintaining appropriate par levels.
  • Partner with resort departments (Food & Beverage, Golf, Retail, Housekeeping, etc.) to understand purchasing needs.
  • Communicate lead times, substitutions, and item changes to stakeholders.
  • Serve as a primary contact for vendor questions, product samples, and pricing updates.
  • Coordinate with Accounts Payable to ensure invoice accuracy and timely resolution of discrepancies.
  • Lead by example in daily purchasing activities and adherence to procedures.
  • Support the Purchasing Manager by assigning daily tasks, monitoring progress, and reinforcing priorities.
  • Provide training and guidance to Purchasing Agents on systems, processes, and best practices.
  • Promote teamwork, clear communication, and accountability within the department.
  • Assist with onboarding and cross-training efforts as directed by the purchasing manager.
