About The Position

North Pittsburgh Oral Surgery is seeking an experienced and service-driven Lead Patient Care Coordinator to provide leadership for our front office operations and help deliver an exceptional patient and referring-provider experience. This role combines hands-on patient care coordination with team leadership. The Lead PCC is responsible for developing and supporting Patient Care Coordinators, ensuring operational excellence, and maintaining the professional standards that define the NPOS patient experience. The ideal candidate is a confident communicator, strong organizer, and natural leader who thrives in a fast-paced healthcare environment. This individual will partner closely with surgeons, clinical leadership, and the Regional Manager to ensure the front office operates with efficiency, accountability, and a culture of teamwork and service excellence. Requirements

  • 1–2 years of supervisory or management experience in a healthcare or medical office environment
  • Strong knowledge of front office operations, scheduling systems, and healthcare workflows
  • Proven experience coaching, training, and developing team members
  • Exceptional organizational and problem-solving skills
  • Strong communication and leadership presence
  • Ability to manage confidential information with discretion
  • High level of accountability and professionalism

Nice To Haves

  • Experience working directly with physicians and clinical leadership
  • Experience with dental or oral surgery practice operations
  • Proficiency with practice management systems (DSN experience preferred)
  • Experience managing scheduling efficiency and front office performance metrics

Responsibilities

  • Supervise and support the Patient Care Coordinator team to ensure exceptional patient service
  • Lead onboarding, training, and professional development for front office staff
  • Conduct performance reviews, coaching sessions, and corrective action when necessary
  • Foster a collaborative, high-performing team culture
  • Oversee daily front office operations and patient scheduling workflows
  • Monitor documentation accuracy, patient records, and front office processes
  • Utilize practice management systems to improve efficiency and train staff
  • Prepare operational reports and performance insights for leadership
  • Ensure patients and referring providers receive timely, professional communication
  • Serve as an escalation point for patient or operational concerns
  • Collaborate with surgeons and clinical leadership to align scheduling and operational priorities
  • Coordinate purchasing of office supplies and equipment
  • Manage vendor coordination and front office systems
  • Oversee cosmetic injectable inventory and petty cash processes
  • Coordinate facility maintenance and repairs
  • Maintain compliance with HIPAA, OSHA, DEA, and practice policies
