Job Summary: Under the direction of the Practice Manager, Physicians/APPs, and the Lead Cardiology Nurse, the Lead Medical Assistant & Cardiac Device Technician assists with patient care, clinical support, and clerical functions within the Cardiology practice. Clinical duties include rooming patients, obtaining and recording patient information including vitals and EKGs, administering vaccines/injections, performing in-office testing, supporting providers, managing clinical workflow to keep providers running on time, and performing phlebotomy services. This position has expanded responsibility for cardiac device management, including routine interrogations, reviewing and uploading transmissions, documentation, connectivity troubleshooting, triage of abnormal findings, and coordination of remote monitoring workflows. Clerical duties include answering phones, scheduling, providing patient education, medical record processing, bucket/task management, and scheduling. The Lead MA also provides mentorship and serves as a resource for other MAs, supporting training, workflow adherence, and quality improvement.

Requirements

  • Current CMA/RMA or equivalent required, or must obtain within six months of employment.
  • AHA BLS required or must obtain within six months of employment.
  • High School Diploma or equivalent required.
  • Minimum one (1) year of experience in a medical office or ambulatory care setting preferred.
  • At least one (1) year of telemetry experience and EKG interpretation preferred.
  • Excellent communication, clinical judgment, and multitasking skills.
  • Comfort with EMR systems and general office technology.
  • Strong organizational skills and ability to work independently.
  • Reliable transportation and ability to float between locations as required.

Nice To Haves

  • Cardiac Device Monitoring Certificate preferred, or must be obtained within one year.

Responsibilities

  • Maintains patient confidentiality and complies with all HIPPA regulations.
  • Participates in quality improvement initiatives and safety programs.
  • Completes mandatory annual trainings and adheres to attendance polices.
  • Reports incidents and emergencies appropriately and promptly.
  • Provides patient care by assisting with implementation of care plans. Assesses health status, documents interventions and evaluates patient progress following standard procedures.
  • Performs basic office laboratory procedures such as PT/INRs
  • Performs basic clinical procedures such as venipuncture/phlebotomy. Prepares documents and administers vaccines/non-intravenous injections and medication administration as directed.
  • Performs a variety of clerical functions to support office such as typing, filing, scheduling appointments, making phone calls and related duties as required or directed.
  • Coordinates patient flow and prepares patient for examination. Takes and records vital signs and EKG’s. Documents intake assessment. Assists physician and others in clinical procedures as required or directed.
  • Assist in triaging medical calls as per office protocol. Returns patient calls and documents in patient record as required or directed. Calls in prescriptions and refills as directed. Document prescription calls.
  • Reviews laboratory results. Ensures abnormal results are brought to the attention of the physician and others as appropriate.
  • Maintains records, reports, logs and other statistical information as required or directed.
  • Processes Medical Records incoming and outgoing according to practice guidelines and regulations.
  • Schedules and coordinates patient visits and medical procedures, for both inpatients and outpatients.
  • Registers patients for each patient visit, utilizing computer based registration/scheduling system.
  • Verifies patients insurance coverage and eligibility
  • Maintains assigned office and/or clinical supplies including vaccines. Assures accurate inventory of supplies based on approved levels. Rotates stock as required. Initiates requisitions for re-supply or special items.
  • Issues and verifies patients managed care referral.
  • Completes tasks associated with clinical inbox/ practice buckets (personal, practice referral, medical record and others assigned) proficiently and in a timely manner.
  • Instruments and equipment are prepared and sterilized according to procedure to support infection control.
  • Attends variety of meetings, conferences, and seminars as required or directed.
  • Complies with established departmental policies, procedures, and objectives.
  • Demonstrates use of quality improvement in daily operations.
  • Complies with all health and safety regulations and requirements.
  • Participates in quality measures tracking and reporting.
  • Completes all Annual Mandatory Education as required.
  • Provide coverage when needed at other locations within Heywood Medical Group.
  • Performs routine interrogations of cardiac implanted devices (pacemakers, ICDs, loop recorders).
  • Reviews, uploads, and documents device data in EMR.
  • Identifies and escalates abnormal findings to providers following protocol.
  • Troubleshoots device connectivity issues and supports remote monitoring workflows.
  • Maintains device management logs, reports, and required documentation.
  • Assists with triaging patient calls per protocol.
  • Reviews labs and device transmissions; ensures abnormal findings are escalated.
  • Provides patient education regarding device usage, follow-up instructions, and testing.
