About The Position

Mariani Landscape is seeking top talent to join our team as a Lead Intake Specialist. This position is responsible for managing all incoming leads and ensuring accurate, timely entry and routing of information to support business development and operations. The role serves as the first point of contact for potential clients and plays a critical role in ensuring a seamless intake process. This position gathers and documents key project details, performs property and client research, and maintains accurate records across systems. It ensures leads are properly assigned and communicated to the appropriate teams, supporting efficient response times and overall operational effectiveness.

Requirements

  • Strong verbal and written communication skills with the ability to effectively interact with clients and ternal teams.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • High attention to detail and accuracy in data entry and documentation.
  • Ability to gather information, ask effective questions, and ensure completeness of client details.
  • Proficiency in general computer applications and operational systems (experience with Pipedrive and Aspire preferred).
  • Ability to work independently, exercise sound judgment, and manage time effectively.
  • Customer service mindset with a focus on responsiveness and professionalism.

Nice To Haves

  • Prior experience in the landscape industry or familiarity with landscape services, terminology, and project types strongly preferred.
  • Experience in administrative, coordination, or customer service roles preferred.

Responsibilities

  • Serve as the primary point of contact for all incoming leads, including phone calls, emails, and website inquiries.
  • Gather and document key project details from potential clients to ensure complete and accurate lead information.
  • Research properties, locations, and client details to support proper lead qualification and job setup.
  • Enter and maintain lead data in company systems, including Pipedrive and Aspire, ensuring accuracy and consistency.
  • Assign and route leads to the appropriate salesperson, designer, or business unit based on project scope, service type, and location.
  • Monitor incoming leads to ensure timely processing and follow up on any missing or incomplete information.
  • Maintain organized and up-to-date records of all lead activity to ensure visibility across teams.
  • Communicate effectively with internal teams regarding new leads, updates, and any issues impacting lead assignment or response time.
  • Identify opportunities to improve lead intake processes, data accuracy, and workflow efficiency.
  • Support administrative tasks related to lead tracking and reporting as needed.
  • Participate in and contribute to Mariani initiatives.
  • Participate in other department and business functions as needed.
  • Other duties as assigned.
