About The Position

The Lead Event Producer supports the Director of Production in department management and is accountable for brand integrity, client satisfaction, and flawless event execution.  This role provides strategic oversight of end-to-end planning and onsite delivery for a wide variety of events, while personally retaining and producing the highest-difficulty, high-profile, and/or intricate events.  The Lead Event Producer mentors and guides Event Producers, resolves escalations, streamlines internal systems, and ensures consistent standards across proposals, BEOs, layouts, timelines, rentals, specialty orders, vendor coordination, and event edits.

Requirements

  • 5+ years producing events end-to-end in catering/hospitality/venues (planning through onsite execution)
  • 2+ years in a lead role, with experience coaching/mentoring other producers
  • Proven success with complex, high-touch events (multiple vendors, rentals/decor, specialty orders, tight timelines)
  • Strong command of event deliverables: BEOs, timelines, floor plans/layouts, service details, vendor orders
  • Confident client communicator who can handle escalations calmly and professionally
  • Organized and systems-minded: comfortable tracking contracts, invoices, payments, rental orders, and purchasing
  • Proficient with event tools and docs (Tripleseat, Google Workspace); quick to learn new systems
  • Availability for evenings/weekends and onsite attendance for events, walkthroughs, and tastings

Nice To Haves

  • Hands-on experience with Tripleseat and Quickbooks
  • Experience with Prismm/AllSeated (or similar) and strong layout/diagram accuracy
  • Strong background in rentals & decor (including custom requests) and vendor management (e.g., PRL or similar)
  • Familiarity with beverage logistics (permits where applicable, pack sheets, specialty requests)
  • Experience building team standards: check-ins, QA, training, SOPs/handbooks

Responsibilities

  • Support the Director of Production in Leading the Event Production team: coach and develop producers, set expectations, run weekly check-ins, and ensure consistent performance and accountability.
  • Personally produce and captain the most complex events: retain and execute the highest-difficulty, high-profile, and intricate events; review and approve complex floor plans, timelines, and service details prepared by the team.
  • Own escalations and decision-making: resolve high-stakes client and operational issues quickly while protecting brand integrity and the guest experience.
  • Partner with senior leadership: provide clear updates on department priorities, risks, resourcing, and opportunities for improvement; help drive strategic execution.
  • Drive client excellence: manage relationships with high-profile/high-value clients, guide communication strategy, and handle escalated concerns through resolution.
  • Ensure accuracy across event deliverables: oversee quality and coordination of proposals, BEOs, invoices, and event edits so details are tight and execution-ready.
  • Oversee event-related financial workflows: monitor payments and event financial coordination (AR/AP) to keep events aligned and moving.
  • Lead cross-department coordination: act as a primary connector to Sales and Culinary to ensure cohesive planning, alignment, and a smooth handoff to execution.
  • Own rentals, decor, and specialty logistics: oversee rental orders, equipment, decor, specialty items/consumables, and custom requests; maintain the Rental Handbook and key vendor relationships (including PRL).
  • Provide specialized oversight: lead/approve site visits, beverage permitting/pack sheets/special requests, tastings, and Prismm layouts to ensure accuracy and readiness.
  • Uphold standards end-to-end: ensure teams and partners follow event protocols, with clear communication across all internal and external stakeholders.
  • Other duties as assigned.
