About The Position

Provides clerical and administrative support to an assigned department and/or program. Prepares a variety of program documents, which requires locating and consolidating information from other source documents, databases, or staff. Maintains administrative files; prepares materials and records concerning department operations; enters data and retrieves information from databases; assists callers, customers and visitors. The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. All duties may not be performed in all departments. Other duties may be required and assigned.

Requirements

  • High School Diploma or GED supplemented by two (2) years of experience providing clerical support and experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Responsibilities

  • Prepares department documents, records, reports and forms requiring knowledge of program policies and procedures and judgement in content, format and detail.
  • Researches, compiles, consolidates, and tabulates information; incorporates information into requested reports and other prepared materials; proofreads for accuracy and completeness; distributes upon approval. Assists Appraiser Manager with researching, developing and compiling all budgetary needs for the division.
  • Receives department documents such as property deeds/transfers, procurement/inventory records, tax returns, legal papers, court orders, etc., reviews for completion; verifies data; makes routine calculations; and/or processes by matching/attaching to related documents.
  • Enters information into department programs and databases; updates database information; creates new spreadsheets/files; and purges old data as appropriate.
  • Research information from databases such as history checks, etc. Receives forms, applications, and/or fees; and logs/records information such as tax/property information, and forwards and/or files as appropriate. Inputs sales, changes in property, and maintenance information.
  • Sketches and re-sketches property information received from Appraisers.
  • Maintains department references such as vendor lists, Official Code of Georgia, training manuals, standard operating procedures, department rules and regulations, and mailing lists.
  • Monitors assigned inventories; prepares requisitions, purchase orders, and other necessary records. Answers telephones; provides assistance, requested documents and information; refers callers to other staff members as appropriate.
  • Receives, dates, and distributes incoming mail.
  • Prepare outgoing mail. Maintains files of department correspondence, program records, legal documents, etc.; requests information from other departments.
  • Drafts and designs newsletters, brochures, and flyers. Helps complete the agenda for the Board of Assessor's meeting.
  • Assists administrative/managerial staff with organization and administration of special projects and/or various committees as directed. Assists other department clerical personnel as needed. Performs other related duties as required.
