About The Position

As a Law Office Administrator you will be responsible for directing and managing support staff for Staff Counsel law office(s) as well as the operation of the office(s). May support one or more attorneys, including the Managing Counsel. You will coach, mentor and facilitate development of support staff to maximize individual and office performance. Evaluate and manage performance objectives relative to quality, productivity and other office standards/goals as well as providing individual and team feedback on an ongoing basis. You will Implement policies and procedures to assure compliance with Staff Counsel guidelines, policies and best practices.

Requirements

  • Bachelor’s Degree in business administration or related field.
  • 5 years of prior experience as a legal assistant and/or paralegal.
  • 3+ years supervisory experience in a law office.
  • Excellent communication skills both written and verbal.
  • Expert knowledge of law office procedures and local court/jurisdiction rules and procedures.
  • Basic knowledge of accounting and financial analysis.

Responsibilities

  • Provide input to office leadership team to establish and develop training for office staff in the use of all office systems, including case management system, protocols, and docket/diary procedures.
  • Partner with office leadership team to provide office orientation for new employees and on-boarding for direct reports by clearly explaining office procedures, best practices, company policies and job duties, to ensure a positive experience.
  • Prioritize and allocate support staff resources to meet the business needs of the office and adjust as necessary to achieve department and organization objectives.
  • Manage the quality and efficiency of support staff performance.
  • Effectively coach and develop support staff through mentoring, cross training and identifying development opportunities (e.g.; stretch assignments and training programs).
  • Document and communicate performance progress updates and compensation decisions for support staff and discipline as appropriate.
  • Develop and execute staffing/ recruitment plans and budgeted census for law office support staff, with due consideration given to growth, capacity, role changes and attrition.
  • Lead the hiring process in partnership with Human Resources, Talent Acquisition and Managing Counsel.
  • Oversee budget, coordinate acquisition and ensure maintenance of legal research, office supplies and equipment.
  • Accountable for training and driving utilization of all office technology to ensure smooth workflow efficiency.
  • Ensure office equipment is fully operational.
  • Troubleshoot technology and equipment issues and serve as liaison with IT partners.
  • Oversee the maintenance and modifications of legal forms and templates, standardization of templates (letters, forms, pleadings).
  • Develop, formulate, and administer a quality support plan which includes coaching, mentoring, and administration of File Review Questionnaire with feedback.
  • Oversee appropriate usage of case management system by attorneys and staff to ensure data integrity and compliance with Staff Counsel guidelines, policies and best practices.
  • Manage office finance administration, ensure compliance with company and staff counsel/first party financial policies.
  • Assist office leadership team with utilization, analysis and completion of reports, such as monthly management information reports as requested.
  • Perform other duties as assigned.
