About The Position

Mountain View Hospital is looking for a Scheduler & Authorization Specialist to join our team! The role involves accurately scheduling patients based on referrals, ensuring efficient admissions, and collecting and entering patient information into the computer system. The specialist will schedule diagnostic procedures and ensure prior authorizations are completed for imaging studies. Additional responsibilities include overseeing the schedule for designated providers, training new schedulers, assisting at the front desk during busy times, and cross-training with other staff. The position may also involve learning and performing surgery scheduling as a secondary role.

Requirements

  • High School Diploma or higher.
  • Current BLS Certification.
  • Minimum of one year Urology office experience or equivalent education and experience.
  • Basic Medical Terminology and Urology Specific Terminology.
  • Ability to use hospital information systems and electronic medical records.
  • Basic computer skills and ability to operate fax/copier/scanners.
  • Effective communication skills with providers and staff.
  • Ability to read and interpret clinical notes and physician orders.
  • Ability to speak effectively to patients and other stakeholders.
  • Ability to apply common sense to instructions.
  • Ability to deal with problems involving several variables.
  • Ability to work well with others and be a team player.

Responsibilities

  • Obtain prior authorizations for Imaging appointments.
  • Assist with prior authorizations for Surgery when requested.
  • Understand provider specific scheduling preferences.
  • Train new schedulers as needed.
  • Monitor patient flow at the front desk and assist during busy times.
  • Cross-train with surgery scheduler and authorization personnel.
  • Report issues to Clinic Supervisor / Department Manager.
  • Schedule patients for office visits and obtain necessary information.
  • Verify prior authorizations and Healthy Connection Referrals.
  • Gather information for insurance submission.
  • Communicate effectively with supervisors, coworkers, and physicians.
  • Check for cancellations and schedule follow-up appointments.
  • Maintain office records and files.
  • Know office policies and available services.
  • Treat patients and families with respect and confidentiality.
  • Receive and post patient payments accurately.
  • Comply with PCI standards for payment card acceptance.
  • Maintain professional relationships within the office.
  • Complete annual educational requirements and attend meetings.
  • Maintain patient confidentiality.
  • Answer incoming calls professionally.
  • Maintain a professional attitude and dress code.
  • Complete other assigned duties.
