About The Position

The Laboratory Accessioner 2 receives, reviews, and accessions a variety of requests, usually in pathology and laboratory settings. This includes inquiries, requests for additional information, and communication via email, fax, telephone with the requesting clinics, clients, physicians, and patients.

Requirements

  • High school diploma or equivalent
  • Minimum 3 years of relevant experience
  • Skill in data entry with minimal errors.
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to communicate effectively in both oral and written form.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to process and handle confidential information with discretion.

Responsibilities

  • Provides general administrative support for a clinical lab operation.
  • Coordinates and tracks delivery of lab specimens and ensure correct barcodes and labeling are in place.
  • Receives, addresses, accessions, and responds to laboratory related inquiries and requests for service.
  • Processes samples as needed according to company SOPs and accessions incoming specimens.
  • Reviews, transcribes, and enters patient demographics and specimen data into the laboratory information system.
  • Researches all inquiries to address any issues or concerns and performs follow up, as needed.
  • Resolves complex and unusual issues and communicates solution or requested information to the customer.
  • Verifies completed requisitions are scanned into laboratory information system and discarded per HIPAA compliant guidelines.
  • Collaborates with providers and clinicians to appropriately schedule appointments considering scheduling guidelines per division/specialty/provider, resource availability, special needs, timeframes, medical necessity, and payer and contractual guidelines. Oversees and clears patient work queues daily to ensure data integrity, prompt billing and minimal AR days.
  • Identifies and collects patient's self-pay responsibility including self-pay discount rates, global packages, and previous balances for both technical and professional components, serving a key role in reducing AR, bad debt, and collection costs by collecting patient's financial responsibility upfront.
  • Complies and abides with all established UHealth policies and procedures related to pathology, laboratory, and state/ federal regulations.
  • Completes the Medicare Secondary Payer Questionnaire (MSPQ) at time of scheduling prior to services being rendered and in accordance with Centers for Medicare & Medicaid Services (CMS) Federal regulations, as needed.
  • Reviews and processes information with discretion, maintaining confidentiality of all laboratory information according to laboratory policy.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Receive, verify, and log pathology slides and paraffin blocks from internal and external sources.
  • Communicate with external facilities by phone or email to request and obtain any missing information.
  • Accession and accurately enter specimen data into the laboratory information system (LIS).
  • Label, sort, and distribute slides and blocks to appropriate personnel or departments.
  • Retrieve and prepare materials for consultations, reviews, or additional testing. Process self-pay and international consultation cases in accordance with department procedures.
  • Utilize the Epic system to create appointments and link cases to the LIS (CoPath).
  • Monitor and manage department work queues to ensure any discrepancy.
  • Prepare and document materials for shipping, return, or archiving.
  • Ensure accuracy, quality control, and compliance with regulatory and institutional standards.
  • Communicate with staff to resolve discrepancies and support timely case processing.
  • Perform additional tasks as assigned to support accessioning operations.
