Labor Coordinator – Cornerstone Position Overview The Labor Coordinator at Cornerstone plays a critical role in ensuring every live event—whether audio, video, lighting, or staging—is fully staffed, prepared, and executed with precision. This position manages the sourcing, booking, scheduling, logistics, and payroll coordination of both internal crews and external labor partners. The ideal candidate is highly organized, proactive, and thrives in a fast‑paced, constantly changing production environment. This role is central to the success and profitability of Cornerstone events, ensuring labor processes are efficient, compliant, and consistently aligned with operational goals.

Requirements

  • 2+ years of labor coordination, event staffing, or live event production experience.
  • Understanding of AV production environments: audio, video, lighting, rigging, staging.
  • Familiarity with union and non‑union labor requirements.
  • Experience with travel booking, scheduling software, and production management systems.
  • Exceptional organizational skills with high attention to detail.
  • Ability to multitask and manage shifting priorities under pressure.
  • Strong verbal and written communication skills.
  • Customer service mindset with excellent negotiation abilities.
  • Ability to problem‑solve complex scheduling conflicts and staffing challenges.
  • Positive attitude, strong work ethic, and a team‑focused mindset.
  • Proficiency with Microsoft Office Suite and PC-based applications.
  • Communicate confidently, respectfully, and professionally with a wide range of personalities, from highly technical specialists to new stagehands.

Responsibilities

  • Crew Sourcing & Management
  • Identify, source, and book qualified technicians, freelancers, stagehands, and specialty labor to meet production requirements.
  • Maintain internal and external crew rosters, ensuring preferred crew lists are utilized first.
  • Manage crew availability, confirm bookings, and adjust staffing based on show changes.
  • Ensure all contractual agreements (W9s, COIs, Independent Contractor Agreements, etc.) are in place and maintained for freelance and brokered labor.
  • On-Site Crew Leadership & Communication
  • As the on-site crew manager, the Labor Coordinator is responsible for directing all labor activities throughout the duration of the event. This requires a strong understanding of the event’s production requirements, schedule flow, venue layout, and staffing needs.
  • On-Site Management Responsibilities
  • Serve as the primary leader and point of direction for all labor crews during load-in, setup, rehearsals, show calls, and strike.
  • Assess the event plan, identify where labor is needed, and assign crew members to the correct departments.
  • Provide clear instructions to crew members regarding their tasks, locations, timelines, and expectations.
  • Ensure crew members remain productive, safe, and on schedule throughout all phases of the event.
  • Adjust staffing assignments in real time based on operational changes, unforeseen issues, or updated production needs.
  • Act as the communication bridge between Event Producers and Technical Directors.
  • Resolve on-site challenges quickly and professionally, ensuring minimal disruption to the event.
  • Serve as the last person to leave the event site, ensuring all labor is complete, paperwork is submitted, and all crews are properly checked out.
  • Labor Scheduling & Logistics
  • Build and distribute detailed crew schedules for set, show, and strike.
  • Coordinate crew travel including flights, hotels, rental vehicles, and per diem requests.
  • Ensure timely and accurate posting of crew calls in Flex, Lasso, or other scheduling platforms.
  • Support on‑site labor coordination as needed during events.
  • Budgeting, Compliance & Payroll
  • Track labor hours, overtime, and staffing levels to ensure budgets are met.
  • Assist in payroll processing, ensuring accurate entry of hours, job codes, and billable time.
  • Maintain awareness of federal/state labor laws, union rules, safety standards, and company policies.
  • Review incoming labor invoices, reconcile discrepancies, and route for approval.
  • Communication & Coordination
  • Serve as the primary point of contact for crew regarding scheduling, duties, and daily updates.
  • Work closely with Event Producer, Technical Director and Operations to confirm staffing requirements.
  • Communicate schedule changes promptly and professionally.
  • Prepare meeting agendas and manage notes for weekly staffing meetings.
  • Vendor & Resource Management
  • Build strong relationships with labor brokers, technical staffing vendors, and travel service providers.
  • Source and coordinate rental equipment needed for upcoming jobs.
  • Maintain organized calendars for internal staff and external resources.
  • Administrative & Operational Support
  • Enter and update purchase orders and expense details in real time.
  • Manage accurate data entry across Flex, Lasso, and related systems.
  • Ensure crews receive proper documentation, run‑of‑show details, and event packets.
  • Support touring logistics and long‑term crew planning for recurring clients or multi‑day productions.
  • Secure company credit card documentation and per diem records.
  • Perform additional duties as needed to support business objectives.
