About The Position

As a Lab Operations & Procurement Specialist (f/m/d), you ensure that laboratory operations run smoothly by supporting equipment functionality, managing consumables, and coordinating procurement activities. You play a key role in maintaining an efficient, well-organized, and compliant laboratory environment that enables scientists to focus on their research. In this role, you act as an important interface between scientific teams, procurement, and external vendors, ensuring the availability of materials, reliability of equipment, and continuous improvement of lab operations.

Requirements

  • Background in pharmaceutical sciences, biotechnology, chemistry, or a related laboratory environment
  • At least 2 years of experience in a laboratory, technical support, or similar environment
  • Experience in procurement, inventory management, or material handling is strongly preferred
  • Solid understanding of laboratory equipment, maintenance, and operational workflows
  • Familiarity with ERP systems and/or laboratory information management systems (LIMS)
  • Ability to work independently, prioritize tasks, and manage multiple activities in parallel
  • Strong understanding of documentation requirements and ability to follow and maintain compliant processes (e.g., GxP)
  • Hands-on mindset with confidence in handling laboratory equipment and materials
  • High level of reliability and attention to detail, with a structured and solution-oriented working style
  • Strong organizational and coordination skills, with the ability to manage procurement and inventory processes effectively
  • Good communication skills and ability to collaborate with scientists, suppliers, and external vendors
  • Ability to work in a dynamic and growing environment

Responsibilities

  • Provide first-line technical support for laboratory equipment and systems, including troubleshooting and documentation of incidents and resolutions.
  • Maintain, calibrate, and ensure functionality of laboratory equipment (e.g., MQ-water systems, freezers, refrigerators, pipettes, pH meters) in line with procedures.
  • Support installation, qualification, and commissioning of new equipment and coordinate maintenance and repairs with external vendors.
  • Collaborate with scientists to ensure smooth and uninterrupted laboratory operations.
  • Manage purchase requisitions and orders for laboratory supplies, consumables, and equipment, including supplier communication, quotations, and delivery tracking.
  • Ensure procurement activities comply with internal quality and regulatory requirements.
  • Monitor inventory levels, perform stock checks, and ensure timely replenishment and availability of consumables at laboratory workstations.
  • Maintain accurate records in ERP/LIMS systems and ensure proper storage, labeling, and handling conditions of materials.
  • Collaborate with finance on invoice verification and cost tracking.
  • Handle goods receipt processes, including inspection of incoming materials, verification against purchase orders, and documentation in ERP/LIMS systems.
  • Coordinate with quality teams regarding acceptance or rejection of materials (e.g., GxP compliance).
  • Act as an interface between scientific teams, procurement, and external vendors.
  • Support audits and contribute to process optimization and cost-efficiency initiatives.
