The Laboratory Director will adhere to and support our culture of compliance and safety by following all Standard Operating Procedures (SOPs) with attention to detail, accuracy, and professionalism at all times.

Requirements

  • Associate Degree required; Bachelors Degree preferred
  • Special training of at least 30 days to six months in histology techniques required to achieve familiarity with handling specimens and staining. Formal ASCP-type accredited training is preferred as a quality standard. A pre-hire assessment will be conducted to determine familiarity with handling specimens and staining. A satisfactory score would be required for employment consideration.
  • Training and a post training assessment for all role-applicable SOPs and Laboratory Compliance workflows must be completed after hire but before any laboratory work can be completed. A competency assessment will occur at one month before independent work is permitted. Role specific SOPs and Laboratory Compliance workflows are outlined in the Pathology Training Program Smartsheet.
  • Two years of high volume dermatopathology laboratory management
  • Familiarity of on-the-job with histology techniques
  • Experience in large-scale organization or high-volume production environment required to gain seasoned familiarity with processing specimens in production environment. Should be familiar with most major techniques for staining and special staining.
  • Analytical skills necessary for processing slides under tight deadlines and general supervision; should have ability to identify specific specimens for supervisory follow-up.

Nice To Haves

  • Histotechnician, Clinical Laboratory Technician or Clinical Laboratory Technologist license is preferred.
  • ASCP HT or HTL Certification is preferred.

Responsibilities

  • Ensure high quality product, work with pathologists and technicians to determine and resolve root cause of all quality issues
  • Ensure turn-around-time metrics are met
  • As needed, will work as a Histotechnician or Grossing Personnel (per qualifications and training) to support staff
  • Collect necessary data for quality meetings, present data to Lab Director, take meeting minutes, schedule meetings, and maintain documentation
  • Ensure all QA/QC is completed per SOP
  • Ensure all training and competency is completed per SOP
  • Ensure all equipment in the laboratory is properly maintained and functional
  • Ensure all safety and regulatory requirements are met per CLIA and SOP
  • Maintain inventory needed for operations of the laboratory, ensure expiration dates are monitored and expired materials are disposed of properly
  • Will complete daily compliance walk-throughs to ensure all staff are always following all protocols
  • Maintain an ‘inspection-ready’ laboratory at all times
  • Collecting and distributing control materials; preparing controls for IHC and special stains
  • Serves as Safety Office per laboratory SOP
  • Maintains the QA Management Plan by performing the following tasks:
  • Annual Review of SOP: Confirmation of the SOPs are reviewed on an annual basis and approved by the new director in the event of directorship change.
  • Annual Review of Laboratory Job Descriptions: The lab manager will present Job Descriptions for all staff to the Laboratory Director for annual review.
  • Training and Competency of Lab Personnel: The lab manager will assess employee files monthly to confirm all training and competencies are complete and documented on Smartsheet: Training and Competency (a calendar)
  • Compliance Complaint Investigations: The compliance department will receive, investigate, and resolve any complaints
  • Confidentiality of PHI: All staff are responsible for protecting PHI and reporting PHI breaches to compliance.
  • Room Temperature, Room Humidity and Reagent Refrigerator Temperature: The lab manager will confirm the Room Temp and Humidity QC log and the Reagent Refrigerator QC log are completed daily, all variances are addressed, and logs are reviewed / signed by supervisor monthly.
  • Expired Reagents: The lab manager will confirm a review of reagent expiration dates is completed daily and all expired reagents are removed from the laboratory
  • Reagent Labeling: The lab manager will confirm a review of reagent labeling is completed daily and all mislabeled reagents are corrected or removed from the laboratory
  • Safety - Air Quality Maintenance - HEPA Filters: The lab manager will confirm filters are replaced on a monthly basis; proof of service is to be maintained in air quality binder.
  • Safety - Annual Air Quality Assessment: The lab manager will confirm IAQ assessment is completed on an annual basis; proof of service is to be maintained in air quality binder.
  • Safety - Vapor Monitoring: The lab manager will confirm vapor monitoring is completed on an annual basis; proof of monitoring is to be maintained in air quality binder.
  • Twice Annual Testing Results: Lab manager and lab director will review the outcome of twice annual testing
  • Proper Specimen Labeling - Biopsy Site Locations are Properly Identified: Ensure pre-analytical staff assesses each specimen for biopsy site accuracy. Staff will track all office requests to update body site locations.
  • Proper Specimen Labeling - Labeling Errors: Ensure pre-analytical staff assessed each specimen for labeling and order accuracy
  • Proper Specimen Labeling - Specimens are not Switched: Ensure all cases are monitored throughout the histology process to assess for possible switched specimens.
  • Test Order Communication: The lab manager will assess the accuracy of test orders with a monthly audit of 10 requisitions and review errors reported via the Smartsheet: Lab Incident Reporting
  • Grossing Documentation: The lab manager will assess the accuracy of grossing notes entered into LIS with a monthly audit of 10 requisitions
  • Histology Quality: Ensures the pathologists assesses each case for histology errors and reports unexpectable findings
  • Accuracy and Availability of Corrected Reports: The lab manager will run monthly reports from LIS for corrected report and confirm all corrected reports have correct date/time stamp and both final and corrected reports are in the patient’s chart.
  • Use of Amended Reports with Diagnostic Impact: The lab manager will run monthly reports from LIS for corrected report and will assess if diagnosis was impacted between initial and corrected report.
  • Report Transmission Accuracy: Lab manager will assess 20 SDG and 20 reference laboratory reports to confirm transmission accuracy to LIS
  • Design and enforce efficient workflows to support the laboratory safety and productivity metrics
  • Maintain a clean and well-organized laboratory
  • Schedule staff to meet laboratory requirements, anticipate volume trends and plan for growth with adequate staffing and equipment
  • Monitor discrepancy trends and determine root cause, work with operations staff to minimize avoidable errors
  • Follow all document management protocols when SOPs or training documents require editing / updating
