Our modern logistics and fulfillment engine helps businesses to build and scale high-quality, personalized direct mail programs without the operational burden. As we grow to meet the evolving needs of our customers and expand our product offerings, we’re building a team to shape the future of direct mail. Project Context: The Knowledge Architecture Initiative As a remote-first organization, our digital documentation serves as our primary operational infrastructure. Currently, our internal resources, distributed across Notion, Google Workspace, and various communication channels, have reached a level of fragmentation that hinders productivity. The absence of a unified "Content Map" has resulted in information silos, the persistence of obsolete materials, and significant friction in data retrieval. To resolve this, we are engaging a project-based contractor to lead a comprehensive overhaul of our digital documentation. This initiative focuses on deconstructing current documentation "debt," organizing assets into a scalable architecture, and establishing a permanent governance model. This is a targeted, milestone-driven project engagement designed to transition our systems into a clean, searchable, and sustainable state. Knowledge Management Consultant (Contract) Position Overview: The Knowledge Management (KM) Consultant is a specialized, project-based role responsible for the strategic restructuring of the organization’s internal documentation and information workflows. The consultant will audit existing assets, establish a unified taxonomy, and facilitate the creation of a sustainable governance framework. Success in this role is defined by the completion of specific architectural milestones and the delivery of a finalized procedural rollout for the leadership team and broader company.

Requirements

  • Systems Architecture Expertise: Proven experience in Information Architecture (IA), Knowledge Management (KM), or Content Strategy within a corporate environment.
  • Technological Literacy: Proficiency in leveraging AI tools—specifically Notion AI and Gemini for Google Workspace—to enhance data retrieval and organization.
  • Platform Proficiency: Advanced technical command of Notion (database architecture, relational properties) and Google Workspace (Shared Drive administration).
  • Change Management & Facilitation: Demonstrated ability to lead leadership groups toward consensus on operational procedures and process rollouts.
  • Superior Communication and Cross Functional Collaboration skills

Responsibilities

  • Comprehensive Information Audit: Conduct a full-scale audit of documentation across Notion and Google Workspace. Categorize assets by relevance, accuracy, and lifecycle stage (Active, Archive, or Delete).
  • Taxonomy & Content Mapping: Design and implement a unified internal "Content Map." Establish standardized naming conventions, folder hierarchies, and cross-platform tagging systems to ensure universal searchability.
  • Administrative and Strategic Facilitation: Partner with the cross-functional leadership group to establish a uniform procedure for content creation, storage, and maintenance. Lead the effort with each department to solidify these procedures into a formal company-wide rollout to ensure long-term system integrity.
  • Knowledge Extraction: Identify and document critical "tribal knowledge" currently siloed in Slack/Teams threads. Formalize this information into the central knowledge base while thoughtfully archiving, storing and replacing outdated information that is no longer useful.
  • AI Integration Support: Partner with the internal AI Champion group to help set up systems that leverage AI capabilities (including Notion AI and Gemini) to automate content categorization and sustain documentation hygiene.
  • Smooth Handoff: Upon project completion, ensure there is a detailed document “artifact” that details how the company should operate moving forward with documentation procedures, step by step guides and a scope of work for the ongoing upkeep the company should dedicate to ensure long term data and documentation integrity
