About The Position

The Junior Travel Specialist is responsible for managing all aspects of travel for USAID, including routine tasks such as travel reservations and processing travel arrangements, as well as more complex duties like database maintenance and reporting. This role involves acting as a liaison between travelers and the USAID Travel and Transportation Office, ensuring timely issuance of airline tickets, and contributing to the development of travel reports for Global Health staff.

Requirements

  • Bachelor's degree and 3 years of relevant experience, or Associate's degree and 5 years of relevant experience, or High School diploma and 7 years of relevant experience.
  • Knowledge of government travel policies, procedures, and regulations.
  • Experience using E2 Solutions travel software is highly desirable.
  • Proficiency in Microsoft Office, Internet, and e-mail applications.
  • Ability to manage multiple tasks simultaneously and work within tight schedule constraints.
  • Excellent writing, communication, and presentation skills are required.
  • A 'Secret' level security clearance is required.

Responsibilities

  • Report to the Travel Manager or Acting Travel Manager on the status of travel activities.
  • Prepare travel authorizations in the Agency travel system for GH USGs and USPSCs staff traveling on temporary duty assignments (TDY).
  • Prepare travel authorizations for GH funded non-GH staff as needed and process amendments to travel authorizations.
  • Ensure all required supporting documentation is processed and obtained, including travel requests and approvals.
  • Work closely with travelers and the Agency's designated Travel Management Center (TMC) to ensure compliance with Agency policy.
  • Review, prepare, and submit travel vouchers for reimbursement for GH Direct Hire staff.
  • Monitor processing of travel vouchers to ensure timely payment by the Office of Financial Management (FM).
  • Assist travelers in resolving problems with their travel vouchers.
  • Track and notify travelers of delinquent travel vouchers and provide weekly updates.
  • Establish and maintain official electronic travel files.
  • Analyze travel obligation reports to assist with identifying funds for de-obligation.
  • Maintain effective working relationships with administrative and financial personnel to facilitate timely processing of requests.
