About The Position

The Department of Design & Construction, Division of Infrastructure, is currently seeking a Junior Administrative Assistant to join our Construction Management 5 - Brooklyn team. Successful candidates will report directly to the Office Manager and collaborate with the Administrative Assistants to assist the team with administrative work. These tasks include monitoring the New York City Streets site for project initiation and contractor permit requests, maintaining various databases, drafting responses for homeowner complaints, and assisting with permit and project research to compile information requested by the agency's Law unit regarding FOILS, Litigations, and Comptroller Requests. Additionally, the Junior Administrative Assistant will help manage the Assistant Commissioner's (AC), Director's, and Deputy Directors' calendars when needed or in the absence of the Office Manager. During these times, the Junior Administrative Assistant will also answer the AC's incoming calls, record messages, and/or direct callers to the appropriate staff to ensure urgent matters are addressed in a timely manner. Lastly, the candidate will maintain the team's filing system and provide clerical assistance to Engineers-in-Charge and other field staff when needed.

Requirements

  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization.
  • One year of satisfactory clerical experience.
  • Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
