About The Position

The Patient Service Representative is responsible for greeting patients and visitors, verifying required information, and registering patients by obtaining necessary forms. This role involves scanning and uploading documents, collecting co-pays, entering patient information into the practice management system, and scheduling appointments. The representative will also handle telephone communications, monitor office supplies, and maintain cleanliness in the front office and lobby areas.

Requirements

  • Previous experience in medical practice is preferred.
  • Customer service experience.
  • Data entry skills.
  • Ability to multi-task.

Responsibilities

  • Greets patients and visitors as they arrive.
  • Verifies that required information has been obtained on patients.
  • Registers patient by obtaining new patient information forms, reviews them for completeness, and requests any missing information.
  • Scans or copies insurance cards and photo identification.
  • Scans and uploads patient paper documents.
  • Verifies address, telephone, and any other information needed with patients for accuracy, and updates patient record as necessary.
  • Collects co-pays and outstanding balances on accounts.
  • Enters the patient information into the practice management system.
  • Check patients into the practice management system, assembles appropriate forms and routes paperwork to the clinical area.
  • Obtains insurance information on patients and approval for all workers compensation cases prior to making patient appointment.
  • Verifies patient insurance information is correct.
  • Sends paperwork to new patients for completion prior to their appointment, notify of online access to required paperwork or notify patients to come in prior to appointment to complete paperwork.
  • Balances and keeps track of cash box.
  • Tracks money collected and verifies total against receipt sheet daily.
  • Schedules appointments for patients.
  • Calls patients and informs them of items that are ready to be picked up.
  • Prepares school/work excuses for patients as needed.
  • Routes phone to and from answering service. Insures that any messages left with the answering service have been addressed.
  • Answers telephones, takes incoming messages and distributes appropriately.
  • Monitors office supply levels and requests when needed.
  • Removes and replaces older magazines with current issues.
  • Maintains the front office and lobby areas to insure cleanliness and order.
