Our client is seeking a highly organized and detail-oriented QA Documentation & RMA Specialist to join our team. This hybrid role will focus on ensuring proper documentation and records are maintained for all quality assurance processes and managing Return Merchandise Authorizations (RMAs) to support product returns. The ideal candidate will have experience in quality assurance documentation, strong customer service skills, and a keen understanding of the RMA process in a technical or manufacturing environment. This position requires a person who can multitask, prioritize effectively, and ensure compliance with industry regulations.

  • Maintain and organize quality assurance documentation, including inspection First Article Inspection Reports (FAIR), inspection certificate, Failure Analysis test results, and compliance documents.
  • Ensure that all quality assurance records meet regulatory requirements and company standards.
  • Develop and maintain standard operating procedures (SOPs) for quality processes and ensure they are adhered to by all relevant departments.
  • Generate and maintain reports related to quality control activities, documenting trends, defects, and resolutions.
  • Assist in internal audits by providing requested documentation and ensuring that all records are up to date for review.
  • Review and process Return Merchandise Authorizations (RMAs) by verifying product defects, issuing RMA numbers, and coordinating with customer service and internal teams to facilitate efficient returns and resolution.
  • Serve as the primary point of contact for customers regarding product returns, addressing inquiries, providing updates, and ensuring timely resolution.
  • Conduct product inspections on returned items to verify defects, assess the cause, and determine whether repairs, replacements, or credits are warranted.
  • Investigate returns to identify common issues or trends, working with engineering and production teams to resolve recurring problems and improve product quality.
  • Maintain accurate records of all RMAs, ensuring all information is captured in the system and providing reports as needed for management review.
  • Resolve customer issues or difficulties in a manner that is consistent with the company mission, values, and financial objectives.
  • Maintain professional business relationships within target accounts.
  • Bachelor's Degree (BS) in Engineering (preferably mechanical, electrical or chemical engineering) or Sciences (physics) from a four-year college or university or equivalent combination of education and experience.
  • Strong written, verbal and interpersonal communication skills; ability to work with minimal supervision.
  • Good mechanical aptitude and ability to work with tools and instrumentation.
  • Japanese language proficiency (reading, writing, and speaking) is a plus.
