JOB SUMMARY The IT Provisioning Specialist is accountable for administering and overseeing the end‑to‑end provisioning of IT services, hardware, and software across Pulte Financial Services. The role independently manages procurement workflows, prioritizing requests, ensuring compliance with financial and IT controls, maintaining audit‑ready records, and driving operational improvements while partnering with IT and business leaders. The position partners closely with IT, Finance, and business stakeholders to ensure compliant, timely, and well‑governed delivery of IT services, hardware, and software.

Requirements

  • High school diploma or Equivalent required; degree or equivalent experience preferred.
  • 1–3 years of experience in IT asset management, provisioning, or procurement
  • Working knowledge of hardware lifecycle management and software licensing concepts
  • Familiarity with IT ticketing and asset management tools (e.g., Ivanti or similar platforms)
  • Basic understanding of financial coding, purchase orders, and invoice processing
  • Advanced Excel skills for tracking, reconciliation, and reporting
  • Strong organizational and time‑management skills with the ability to manage multiple requests simultaneously
  • Solid understanding of common IT products, devices, and services to support informed purchasing decisions
  • Strong attention to detail and commitment to data accuracy
  • Ability to work effectively in a fast‑paced environment with minimal supervision
  • Clear, professional communication skills with both technical and non‑technical stakeholders

Responsibilities

  • Lead IT hardware and software procurement requests through the ticketing system, ensuring approvals, budget alignment, and process compliance.
  • Making informed decisions to prioritize work, manage dependencies, and resolve issues in alignment with business needs.
  • Act as the project manager for hardware and software provisioning initiatives, coordinating with internal IT teams and various business stakeholders, vendors, to oversee distribution, timelines, billing setup, and timely disconnects.
  • Ensure all procurement activities are executed in accordance with approved budgets, purchasing policies, and internal controls, validating approvals and addressing exceptions prior to execution.
  • Apply judgment in reviewing requests for completeness, appropriateness, and alignment with standards before advancing them through procurement and payment processes.
  • Oversee procurement and inventory management of IT hardware and online software, supporting new hires, refresh cycles, break/fix needs, and department setups.
  • Maintain audit‑ready asset, licensing, and procurement records, ensuring data integrity and compliance with internal, regulatory, and vendor requirements.
  • Serve as a primary point of coordination for IT asset and license audits, responding to inquiries and resolving discrepancies through established remediation processes.
  • Lead device provisioning activities including imaging, configuration, deployment, refreshes, and returns.
  • Maintain accurate asset and ticket data throughout the full lifecycle (procurement through retirement).
  • Coordinate vendors, installs, billing, and disconnects.
  • Process software requests, assign and recover licenses, and support license tracking and audit readiness.
  • Accurately code invoices and purchase orders and ensure timely processing through AP systems.
  • Serve as backup SME for mobile device provisioning, including adds, removals, and status communication.
  • Identify and implement process improvements and efficiencies to enhance provisioning, asset management, and cross‑functional workflows.
  • Lead and contribute to cross‑functional projects and system implementations to support evolving business and technology needs.
  • Customer Service Excellence: Deliver professional, empathetic, and clear communication in all user interactions.
  • Handle escalations appropriately and route issues to higher‑level teams when necessary.
  • Vendor Management Maintain regular communication with vendors to stay current on pricing, product offerings, timelines, and support agreements Update and manage the vendor database.
  • Collaborate with cross‑functional teams on hardware and software initiatives.
  • Perform regular asset audits to ensure compliance with warranty, licensing, and security standards.
  • Oversee IT Asset Disposal (ITAD) by preparing equipment, coordinating vendor pickups, and documenting disposals.
  • Perform other duties as assigned.
  • Organizational Impact Independently manages day‑to‑day provisioning activities with moderate operational impact.
  • Supports moderately complex assignments and projects.
  • May provide guidance to entry‑level or support staff.
