Organization: VICTR Job Summary: Term IT Project Manager – VICTR This is a full-time/exempt term position lasting six months to one year. Job Summary This position will coordinate project team activities with occasional guidance, including collaborating with investigators to manage current projects, as well as secure additional projects, and managing the relationship between investigators and the informatics group. Identifies appropriate resources needed, and develops schedules to ensure timely completion of project. Coordinates the activities of the team (i.e., create project assignments and distribute workload, perform training, provide general supervision) by becoming familiar with system scope and project objectives, as well as the role and function of each team member. Implements small development projects or components of large projects. In addition, this position is also needed to coordinate technical infrastructure and resource allocation between the informatics group and other technical groups within the Vanderbilt institution. Translates customer needs into projects on a project roadmap. During feasibility discussion, understand project goals and communicate alternative ideas where possible to better suit project goals and budget. Suggests key milestones from completing a project’s minimum viable product within project budget, and additional milestones for subsequent development phases. Provides communication buffer between stakeholders and developers. Demonstrates mastery of project communications in practical applications of a difficult nature. Effectively transmits technical and business ideas and information to others, including non-technical audiences. Shares knowledge, ideas and information openly, and effectively sells new ideas and influences others. Possesses sufficient knowledge, training, and experience to be capable of successfully delivering Project Communications without requiring support and instruction from others. Communicate with key stakeholders to keep them informed about development progress and any potential barriers that may arise. Provide regular updates to project team regarding development progress; updates may include quick messages, calls, screenshots, documentation, or demonstrations of development. Immediately communicate any potential delays in project development to investigators, with explanation of the delay and potential solutions. Provides guidance and support to team members. Leads vision, roadmap, deliverables for products. Provides direction on development, execution and monitoring of product roadmaps. Project Coordination Coordinates and oversees all phases of the project. Performs project tracking (milestone completeness throughout the development process) and reporting relative to task completion dates, dependency effects, problem anticipation, schedule conflicts, and assignment to appropriate staff for resolution. Monitor percent complete for project milestones to forecast any potential timeline barriers Manages prioritization procedures for changing scope [i.e., change management] and project acceptance procedures. Measures progress toward goals and revises project objectives and documents applying change control procedures. Assumes responsibility [as appropriate] for resolving issues and seeing work through to successful completion. Provides training to project managers and others on project related templates and toolsets. Develops methods to measure customer satisfaction and obtains feedback at critical. milestones and at project completion to ensure project efforts meet customer expectations. Participate in internal testing of developed technology. Strongly suggest and provide time for iterative user acceptance testing by investigator’s/end user’s team. Project Issues Management Demonstrates mastery of Issues Management in practical applications of a difficult nature Analyzes moderately complex problems using technical experience and judgement. Adept at identifying issues before they become problems and assigning those issues to the right people at the right time. Possesses sufficient knowledge, training, and experience to be capable of successfully. managing internal project issues without requiring support and instruction from others. Able to anticipate and resolve unplanned project issues as they arise. Propose solutions for any barriers that arise with collaboration from development team and investigator. Triage any reports of bugs to appropriate development team member for quick resolution. Project Planning Following an initial feasibility meeting, provide investigators with timeline estimate based on project scope. Creates project plan with milestones and timeline that fit the project’s budget. Demonstrates ability to forecast complex resource needs, identify and break work down into discrete and measurable tasks, set priorities, define dependencies, schedule activities, prepare acceptance criteria and organize work for one or more large projects. Plans for and anticipates events outside of immediate responsibility. Anticipates problems and obstacles before they arise. Sets priorities with a proper sense of urgency and importance. Develops creative ideas and takes innovative action to achieve planned goals and objectives. Is proficient in the use of project management tools.
