The IT Project Administrator is responsible for coordinating the execution and documentation of all IT projects to ensure efficient use of resources, on-time delivery, and alignment with business objectives. This role supports the project team by compiling status reports, managing schedules, documenting activities, organizing project meetings, and tracking deliverables. The IT Project Administrator also helps identify system requirements, define project scope, and resolve routine technical or operational issues, ensuring all project phases are thoroughly documented and compliant with internal processes.

  • Coordinate day-to-day activities of IT projects to ensure tasks are completed according to timelines and project plans.
  • Compile and distribute project status reports and dashboards to stakeholders and leadership.
  • Organize and facilitate project meetings, including scheduling, agenda preparation, note-taking, and follow-up on action items.
  • Track and update project schedules, milestones, and task progress using project management tools (e.g., MS Project, Smartsheet, Jira, or equivalent).
  • Assist in identifying and analyzing systems requirements and defining project scopes, objectives, and deliverables.
  • Coordinate internal resources and third-party vendors to support successful project execution.
  • Monitor project risks and issues and assist in developing mitigation strategies.
  • Ensure proper documentation of all project phases including initiation, planning, execution, and closure.
  • Collaborate with cross-functional teams, including technical staff, business users, and external partners.
  • Support project budgeting and procurement activities by tracking expenses and vendor contracts as needed.
  • Maintain project documentation repositories and ensure version control for all project artifacts.
  • Associate's degree
  • At least 2 years of related experience and scheduling and reports
  • Clearance: Public Trust
