About The Position

Scribe is looking for an IT Manager to be our first dedicated IT hire and the backbone of our IT operations and employee technology experience. In this role, you’ll centralize our core IT infrastructure including onboarding, offboarding, device management, tool administration, vendor & license management, and more. This is a chance to take ownership of Scribe's internal technology operations for a +200-person globally distributed team — building the systems, processes, and standards that make everything work seamlessly. You’ll ensure every team member has a seamless, secure, and efficient setup from day one. If you're someone who takes pride in building IT infrastructure that scales, builds redundancy, thrives in hands-on and cross-functional work, and wants to see the direct impact of your work across an entire company — this role is for you. Scribe is where exceptional people come to do the best work of their careers. More than 94% of the Fortune 500 use Scribe to document and scale how work gets done. Our Workflow AI platform automatically captures and optimizes workflows so teams work smarter, faster, and more consistently. We’re growing fast — since our founding in 2019, we’ve grown to over 5 million users across 600,000 businesses. Based in San Francisco, we've been named a LinkedIn Top Startup, are valued at over $1 billion, and are backed by leading investors. Join us in our mission to uplevel how people do work. As Scribe's IT Manager, you will own the full scope of internal IT operations — partnering closely with our Operations, Information Security, People, and Engineering teams.

Requirements

  • You have 6+ years of experience in IT operations, IT administration, or a related IT generalist role — ideally at a fast-growing SaaS or technology company.
  • You have deep hands-on experience with macOS device management, identity and access platforms (Okta required), and the core SaaS stack of a modern tech company (Google Workspace, Slack, Zoom, Notion, etc.).
  • You're a builder, not just an operator. You've stood up IT processes from scratch or significantly improved existing ones — onboarding workflows, device lifecycle management, documentation, SaaS governance.
  • You can run autonomously. You don't need someone to tell you what to prioritize — you see what's broken, what's inefficient, and what's coming next, and you move on it.
  • You're comfortable being the sole IT person at a +200-person company and managing the full breadth of what that entails.
  • You have a security-first mindset and understand best practices around SSO/MFA, endpoint protection, least-privilege access, and device compliance.
  • You're an excellent communicator who can support employees at all levels.

Responsibilities

  • Take ownership of the end-to-end employee technology lifecycle — onboarding, offboarding, device provisioning, account setup, and access management — building a process that's seamless, secure, and scalable for a growing team.
  • Manage Scribe's device fleet, including laptop procurement, imaging, configuration, deployment, and returns, using Apple MDM tooling and Kandji to keep all endpoints enrolled, configured, and compliant.
  • Own day-to-day administration of access management, including user provisioning/deprovisioning, SSO app management (Okta), MFA configuration, and periodic access reviews.
  • Serve as the primary point of contact for internal IT support, troubleshooting hardware, software, and connectivity issues for both remote and in-office employees with speed and empathy.
  • Own SaaS tool administration across Scribe's technology stack — managing licenses, tracking usage, evaluating new tools, and ensuring cost-efficiency and compliance.
  • Partner with the Information Security team to maintain and strengthen security controls, including device encryption, patching, endpoint protection, and user access governance.
  • Support SOC 2 compliance efforts by maintaining internal IT controls, documenting security practices, and collaborating on audit readiness.
  • Manage relationships with outsourced providers for office infrastructure, including physical network (e.g. WAN/WLAN, IDF/MDF, VLAN), AV systems, badge access, and related vendor coordination.
  • Build and maintain clear IT documentation — process guides, runbooks, and knowledge base articles — so that IT workflows are repeatable, transparent, and easy to follow for technical and non-technical team members alike.
  • Continuously evaluate and improve IT workflows and tooling to drive automation, reduce manual work, and scale IT operations alongside the business.
