General Description: The IT Communications Coordinator is responsible for developing, managing, and delivering clear, effective communications to internal and external audiences, enhancing the visibility, and understanding of IT initiatives. This role requires a blend of technical acumen, organizational excellence, and advanced communication skills, supporting both day-to-day operations and long-term planning across IT and business functions.

Requirements

  • Knowledge of or ability to learn Microsoft Office Suite, or Microsoft 365.
  • Advanced written and verbal communication skills, with the ability to translate complex technical concepts into clear, accessible language for diverse audiences.
  • Strong technical acumen and familiarity with IT systems, terminology, and project management.
  • Exceptional organizational and multitasking abilities.
  • Advanced proficiency in Microsoft Office Suite, collaboration tools (Teams, SharePoint), and project management platforms.
  • Experience developing and managing communications strategies, channels, and content.
  • Ability to work independently, exercise sound judgment, and manage confidential information.
  • Strong analytical and critical thinking skills.
  • Professional demeanor and ability to interact with senior leadership and external partners.
  • Analytical skills to measure communication effectiveness and recommend improvements.
  • Customer-focused mindset with attention to detail.
  • Bachelor’s degree in information technology, communications, Business Administration, or related field required.
  • 5+ years of experience in IT communications, executive support, technical administration, or IT project coordination.
  • 5+ years of ITIL or similar IT service management framework experience.

Nice To Haves

  • Experience supporting C-level executives in a technology-driven environment preferred.
  • Experience in communications, public relations, or technical writing within an IT context preferred.
  • ITIL® Foundation (IT Service Management).
  • Prosci® Change Management Certification.
  • Certified Technical Communicator (STC) or equivalent.
  • CompTIA Project+ or PMP® (Project Management).

Responsibilities

  • Develop, prepare, and deliver executive communications, presentations, and reports for internal and external audiences, ensuring clarity and consistency of messaging for projects, system updates, and process changes.
  • Serve as a liaison between the CIO, IT leadership, and other business services, facilitating effective information flow and communication.
  • Assist with the preparation and organization of executive meetings, including agenda development, minutes, and follow-up actions, with a focus on clear documentation and communication of outcomes.
  • Translate technical concepts into clear, concise, and user-friendly content for non-technical audiences.
  • Create and maintain FAQs, knowledge base articles, and training materials to support application and process adoption.
  • Coordinate with project teams and business stakeholders to ensure timely and accurate communication.
  • Prepare newsletters, portal updates, email campaigns, and other communication materials.
  • Support change management initiatives by creating awareness and engagement content.
  • Monitor communication effectiveness using metrics and feedback; recommend improvements.
  • Maintain consistency in tone, branding, and clarity across all technology communications.
  • Develop and implement communication strategies to promote technological initiatives, changes, and achievements within the organization.
  • Handle sensitive information with the highest level of confidentiality and discretion.
  • Support the CIO in long-term planning, budgeting, and resource allocation, including communication of plans and progress.
  • Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
  • Special projects and duties as assigned.
