About The Position

The Administrative Systems Analyst supports the design, configuration, and ongoing improvement of client and client-facing systems. This role works closely with cross-functional teams to turn operational needs into clear, efficient workflows and reliable system processes. They help maintain high-quality data, usable reporting, and well-governed system changes that strengthen delivery and advance organizational goals.

Requirements

  • Bachelor’s degree in a relevant field, or equivalent experience, with preference for additional specialized certifications such as PMP, CISSP, or ITIL.
  • 3+ years of experience administering or supporting a ERP, CMS, HR, CRM platforms (e.g., Sage Intaact, ExponentHR, ClientTrack, EveryAction, Monday.com, Salesforce, Apricot, or similar).
  • Experience in project management, ensuring the successful execution of IT initiatives.
  • Ability to provide strategic input, troubleshoot advanced issues, & lead IT projects.
  • Strong verbal & written communication skills, with a detail-oriented & analytical mindset.
  • Familiarity with industry-specific software solutions & the ability to adapt to new tools.

Responsibilities

  • Systems Strategy & Process Improvement: Recommend enhancements and phased improvements that align system capabilities with organizational priorities. Identify workflow and configurations that increase efficiency, usability, and adoption.
  • Platform Administration & Configuration: Build and maintain forms, fields, workflows, automations, templates, and permission structures. Coordinate system updates and releases with vendors and internal stakeholders. Maintain clean environments and thorough documentation, including change logs.
  • Cross-System Collaboration & Data Standards: Partner with other system owners to support secure data transfers, integration handoffs, and shared data definitions across engagement tools and reporting solutions. Promote consistent data practices and standardized data dictionaries.
  • Reporting, Dashboards & Data Quality: Develop and maintain saved queries, dashboards, and scheduled reports to support program reporting cycles and leadership needs. Monitor data health (deduplication, validation rules, required fields, and overall hygiene) and drive corrective actions where needed.
  • Issue Resolution & Vendor Management: Investigate and resolve system issues that impact business workflows. Manage vendor tickets, provide clear reproduction steps, document impact, and escalate appropriately to ensure timely resolution.
  • Project Delivery: Lead scoped projects such as workflow redesigns, new module rollouts, data migrations, and system enhancements. Manage timelines, milestones, risks/issues, and stakeholder communication.
  • Training, Documentation & Enablement: Create and maintain SOPs, quick-start guides, and training materials. Deliver user training and feature refreshers, and promote best practices to improve adoption and consistency.
  • Continuous Improvement & Tool Evaluation: Track roadmap items, user feedback, and relevant trends to keep systems effective, compliant, and user-friendly. Assess current tools and recommend solutions where gaps exist.
