About The Position

The Inventory & Fulfillment Control Coordinator is responsible for maintaining real-time alignment between physical warehouse activity, inventory records, and outbound documentation in a fast-paced, multi-warehouse environment. This role serves as the single point of accountability for inventory accuracy related to receiving, material conversions, inter-warehouse transfers, and shipment finalization. The position supports multiple warehouse locations and works closely with Inventory & Strategic Planning, Procurement, Logistics, Sales, and Warehouse Operations to ensure inventory integrity and professional, accurate shipment documentation without requiring a system upgrade.

Requirements

  • Inventory control or operations experience in a warehouse, distribution, manufacturing, or supply chain environment (Experience with material handling, fabrication, or dimensional products strongly preferred)
  • Hands-on experience with inventory systems
  • QuickBooks Desktop or similar ERP/inventory software
  • Comfortable entering real-time adjustments and understanding downstream impacts
  • Strong attention to detail with operational awareness
  • Able to translate physical activity (cuts, substitutions, transfers) into accurate system transactions
  • Experience working in a fast-paced, deadline-driven environment
  • Comfortable making same-day decisions to support shipping cutoffs
  • Documentation and process discipline
  • Proven ability to manage paperwork, photos, and records accurately and consistently
  • Cross-functional communication skills
  • Able to work effectively with warehouse staff, sales, procurement, and logistics
  • Basic proficiency with collaborative workflow tools
  • Monday.com or similar task/order tracking platforms
  • Physical presence capability
  • Able to work on the warehouse floor, climb on pallets as needed for verification, and move between locations when required

Responsibilities

  • Record same-day inventory adjustments in QuickBooks Desktop related to:
  • Maintain and apply approved conversion rules to ensure consistency and prevent negative inventory
  • Review and resolve inventory discrepancies daily
  • Act as the system authority ensuring inventory always reflects physical reality
  • Receive marked pick lists from warehouse staff
  • Finalize inventory transactions prior to shipment
  • Generate accurate packing slips reflecting actual shipped material
  • Ensure packing slips and required legal/receiving documentation are attached to pallets before shipment
  • Coordinate document printing and confirmation across warehouse locations
  • Physically verify incoming shipments against packing slips and purchase orders
  • Confirm quantities, dimensions, and visible condition
  • Record or validate inventory receipts in QuickBooks Desktop
  • Capture and upload receiving photos and documentation
  • Flag discrepancies or damage to Procurement and Logistics for follow-up
  • Coordinate inventory transfers between warehouse locations
  • Ensure inventory is relieved from the shipping location and received into the destination location on the same day
  • Maintain documentation for all inter-warehouse movements
  • Update Monday.com to reflect transfer status and availability
  • Serve as the single point of accountability for inventory in transit
  • Apply or coordinate application of required pallet legal/receiving stickers
  • Capture and upload pallet photos
  • Maintain complete shipment documentation for internal records, customer reference, and freight claims
  • Ensure documentation consistency across all outbound shipments
  • Use Monday.com to track order status, exceptions, and documentation checkpoints
  • Identify patterns indicating process or stocking issues and communicate findings to Inventory & Strategic Planning
  • Support process documentation in preparation for future system upgrades
