About The Position

The Inventory Control Specialist is responsible for maintaining accurate and compliant inventory records to support the organization’s food distribution programs, with a focus on the Senior Box Program (CSFP) and the National School Lunch Program (NSLP). This role ensures compliance with federal, state, and local regulations, supports audit readiness, and assists with reporting, data collection, and resolution of inventory issues. The Inventory Control Specialist works closely with warehouse operations, program staff, and leadership to ensure that food inventory is accounted for, properly allocated, and reported in a timely and accurate manner.

Requirements

  • 2–3 years of inventory control, warehouse operations, or compliance experience, preferably in a nonprofit or food distribution setting.
  • Knowledge of federal nutrition programs such as CSFP (Senior Box Program) and NSLP strongly preferred.
  • Familiarity with ERP/WMS systems (NetSuite or similar) and strong Excel/data management skills.
  • Detail-oriented with the ability to maintain accurate records and documentation.
  • Strong communication skills with the ability to work collaboratively across departments.
  • Demonstrated ability to prioritize multiple tasks, meet deadlines, and adapt in a fast-paced environment.
  • Position includes potential exposure to (chemicals and fumes, loud noises, vibration, extreme temperature, allergens, confined spaces) up to 100% of the time.
  • Ability to work in warehouse environments, including refrigerated and freezer areas.
  • Regularly required to stand, walk, bend, and lift/move up to 40 pounds.
  • Flexible schedule availability during audit periods or peak inventory times.

Responsibilities

  • Maintain accurate inventory counts across dry, refrigerated, and frozen products.
  • Conduct regular cycle counts, reconciliations, and adjustments in accordance with organizational policies.
  • Monitor inbound and outbound inventory transactions to ensure proper allocation to program areas, particularly Senior Box and NSLP.
  • Investigate discrepancies and coordinate with warehouse and operations staff to resolve issues.
  • Ensure all inventory documentation complies with federal and state requirements for CSFP (Senior Box Program) and NSLP.
  • Prepare and maintain records required for program audits, inspections, and compliance reviews.
  • Support development and implementation of corrective action plans as needed following audit findings.
  • Serve as a point of contact for compliance questions related to food inventory and reporting.
  • Assist with the preparation of programmatic and operational reports, including usage, waste, and compliance metrics.
  • Collect, organize, and analyze data to identify trends, issues, and areas for improvement.
  • Provide data to leadership, finance, and program teams to support decision-making and funding compliance.
  • Monitor and log inventory issues (e.g., discrepancies, damaged goods, missed allocations).
  • Prioritize issues for resolution in collaboration with warehouse leadership.
  • Communicate high-priority concerns to management to ensure timely action.
  • Work with warehouse staff, program managers, and finance to ensure accurate reporting of food movement and allocations.
  • Provide training and support to staff on inventory best practices, compliance requirements, and system usage (e.g., NetSuite WMS).
  • Support continuous improvement initiatives to strengthen internal controls and operational efficiency.
  • Maintain working relationships with program, warehouse and procurement stakeholders to create, develop, implement and monitor organizational food flow strategies.
