About The Position

The Inventory Control Clerk Sr works under the general supervision of an assigned supervisor. This role involves ordering, storing, and issuing a variety of items including parts, materials, supplies, tools, and equipment, requiring a strong working knowledge of the types of materials handled. The position may involve purchasing large quantities or technical items, necessitating direct interaction with manufacturers. Key duties include soliciting price quotations from vendors, initiating purchase paperwork, and maintaining detailed records of items received and issued, both manually and using computer systems. The clerk is responsible for monitoring inventory levels to maintain prescribed quantities and verifying the accuracy of materials against shop manuals, vendor catalogs, and price lists. Communication with vendors, management, and users is crucial for addressing part substitutions or modifications and sourcing unavailable supplies. The role also involves following up on and expediting orders, approving invoices for payment, and inspecting incoming stock for defects and specification conformance. The clerk determines storage methods, identifies and labels stock, and organizes articles in bins, on floors, or on shelves. Physical tasks include delivering or picking up supplies using a light truck and operating material handling equipment like a forklift, if assigned. The position requires maintaining the supply room's appearance, interacting with various stakeholders, and generating inventory and equipment reports for management. Periodic travel to outlying satellite facilities is required to assist with inventory, special projects, and audits.

Requirements

Responsibilities

  • Order, store, and issue parts, materials, supplies, tools, and equipment requiring a working knowledge of types of materials stored.
  • Solicit telephone and written price quotations from vendors.
  • Order or initiate paperwork to purchase supplies necessary for the support of work activities.
  • Keep record of items received and issued, manually or using computer.
  • Monitor inventory levels and maintain prescribed quantities.
  • Verify shop manuals, vendor catalogs, and/or price lists to determine the type and price of materials are correct.
  • Communicate with vendors, management, and users regarding substitution or modification of parts when replacement is not available.
  • Locate and consult with vendors on supplies not available through regular channels as needed.
  • Follow up on and expedite orders as needed.
  • Check and approve for payment invoices for orders placed.
  • Compare information on requisitions and invoices to materials received to verify accuracy of order.
  • Examine incoming stock for defects and to verify conformance to specifications.
  • Label or mark identifying codes on incoming stock.
  • Store articles in bins, on floor, or on shelves, according to identifying information, such as style, size, or type of material.
  • Determine methods of storage, identification, and stock location.
  • Deliver or pick-up supplies or equipment as needed by driving a light truck to various locations.
  • Use material handling equipment to move materials within the facility such as a forklift if assigned.
  • Maintain physical appearance of supply room.
  • Interact and communicate verbally and in writing with vendors, staff, and management on a variety of issues concerning parts and supplies.
  • Keep and maintain automated records of materials and equipment received and issued.
  • Return defective parts or supplies to vendors as needed and documents information in system in accordance with policies and procedures.
  • Generate and prepare various reports regarding inventory and equipment to management.
  • Travel to outlying satellite facilities periodically to assist with inventory, special projects, and to audit for inventory parts and supplies.
