Requirements

  • Two years of clerical or administrative assistant experience, with emphasis on communications and financial tracking/management.
  • Strong computer skills including the use of Google applications as well as MS Word, Excel, and ability to type 45 wpm.
  • Strong organizational skills including ability to use independent judgment in prioritizing and carrying out tasks.
  • Ability to work effectively while under deadline pressure and with multiple interruptions.
  • Accuracy and attention to detail.
  • Strong communication skills and command of correct English usage, spelling, grammar and punctuation.
  • Evidence of Christian commitment and active church involvement.
  • In addition, staff agree to live in agreement with PLNU’s Community Life Covenant .

Responsibilities

  • Provide administrative support to the Director of International Ministries and Study Abroad, including reconciling expense reports, requesting payment on invoices, calendaring meetings, reserving meeting space, and assisting with meeting hospitality.
  • Manage confidential email communications for the director when requested.
  • Prepare routine correspondence, reports, and meeting minutes.
  • Anticipate administrative needs of the director to enhance supervisor’s effectiveness.
  • Ensure the director has current program student, staff/faculty, partner/host, and emergency contact lists at all times.
  • Work with director supporting communication with affiliated program providers and universities to resolve financial, billing, and contractual concerns.
  • Receive student walk-ins, respond to questions, and route them to appropriate staff, as needed.
  • Schedule and host one-on-one and group meetings to resource students in need of guidance through application processes for internal programs, affiliated programs, and student visas.
  • Provide support to planning processes for faculty-led study abroad programs.
  • Support post-travel financial reconciliation processes.
  • Resource and support promotional and training events.
  • Assist director and staff with marketing outreach to faculty and staff departments, setting appointments for collaboration meetings and brief classroom promotional presentations.
  • Collaborate and communicate well with multiple PLNU departments including Campus Facilities, Educational Access Center, Public Safety, Records Office, Student Financial Services, Student Accounts, etc.
  • Work on special projects and perform other duties as assigned by the director, including researching and collecting information.
  • Provide excellent service to internal and external constituents.
  • Provide and maintain a safe, friendly and efficient professional office environment.
  • Support Student Life and Formation departmental programs and projects as needed.
