Position Summary The Internal Controls Coordinator is responsible for supporting the development, implementation, monitoring, and continuous improvement of internal control processes. This role ensures compliance with applicable standards, internal policies, regulatory requirements, and risk management frameworks. The coordinator assists with internal audits, process documentation, control testing, and corrective action tracking to maintain the integrity and effectiveness of the organization's management system.

Requirements

  • High school diploma or equivalent; college degree preferred.
  • Experience in customer service, administrative support, volunteer coordination, or training assistance.
  • Strong organizational skills and attention to detail.
  • Comfortable presenting information to small groups.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint).
  • Ability to communicate clearly with diverse groups of volunteers, staff, and community members

Nice To Haves

  • Experience in a nonprofit, food bank, warehouse, or volunteer ‑ based organization preferred
  • Knowledge of food safety principles (training provided if needed)
  • Familiarity with databases or LMS systems.

Responsibilities

  • Assist in the design, documentation, and maintenance of internal control procedures aligned with standards.
  • Monitor compliance with company policies, procedures, and control frameworks.
  • Perform periodic internal control reviews and testing to verify effectiveness.
  • Identify control gaps and recommend improvements.
  • Support compliance with applicable standards ( AIB,GMP, FANO )
  • Maintain documentation for policies, procedures, work instructions, and control records.
  • Ensure document control requirements are followed.
  • Coordinate and assist with internal audits and compliance assessments.
  • Prepare audit schedules and maintain audit documentation.
  • Track audit findings and support corrective and preventive actions (CAPA).
  • Assist with risk assessments related to operational processes and internal controls.
  • Maintain risk registers and monitor mitigation activities.
  • Support management in evaluating control effectiveness.
  • Support process improvement initiatives aligned with continuous improvement principles.
  • Participate in root cause analysis and corrective action development.
  • Track and report key performance indicators related to compliance and controls.
  • Assist with internal training related to controls, compliance, and regulatory requirements.
  • Promote awareness of internal control responsibilities across departments.
  • Maintain internal control documentation and records.
  • Prepare compliance and audit reports for management review.
  • Support preparation for external audits and certification reviews.
  • Demonstrates a commitment to the HHFB mission and to fighting to end hunger in South Carolina.
  • Displays a desire to work with culturally diverse populations using a compassionate, collaborative and respectful approach.
  • Supports a culture of continuous improvement by identifying and communicating process and safety improvements.
  • Follows all safety policies and procedures, including reporting all unsafe acts and behaviors, safety hazards, incidents or accidents immediately.
