About The Position

The position is for an Interim Replacement Administrative Assistant to the Manager of Human Resources at Vernon Township School District. The role is set to begin on April 3, 2025, and will last until August 3, 2025. The assistant will report directly to the Manager of Human Resources and is responsible for a variety of office and personnel-related duties to ensure the smooth and efficient operation of the office.

Requirements

  • Bachelor's Degree or equivalent professional experience, preferred.
  • Minimum experience as determined by the board.
  • Ability to provide high levels of customer service.
  • Fluency in Google platforms and Microsoft Office Suite.
  • Knowledge of automated office equipment and efficient office procedures.
  • Good telephone skills and ability to communicate effectively.
  • Digital fluency is required.
  • Required criminal history check and proof of U.S. citizenship or resident alien status.

Nice To Haves

  • Experience with Frontline and Genesis-School Fi, preferred.

Responsibilities

  • Enter all new hires and substitutes into Frontline and the SchoolFi system.
  • Maintain Frontline attendance records and sick bank records.
  • Receive calls regarding certification and other personnel matters.
  • Complete required state reports such as staff evaluations and any other state reporting requirements aligned to the job or assigned (EE05 Report).
  • Maintain other facets of personnel, such as leaves - FMLA/NJFLI (in conjunction with Employee Benefits Specialist and business office employees).
  • Review all teacher certifications through the NJEdCert system, including new employee packet for faculty, processing of criminal history background check, pass the trash law, and other necessary clearance prior to employment begins.
  • Complete 'add staff' in the personnel portion of the agenda (adding appointment start dates, resignations, transfers).
  • Complete all employment verification requests for current and past employees.
  • Assist with payroll duties, as needed.
  • Post job vacancies and handle Applitrack maintenance.
  • Act as the point of contact for all employees to go through the Board process for all approvals for certification and for general central office inquiries from staff members.
  • Coordinate with all other board office employees for smooth onboarding process of new faculty or administrative staff and substitutes.
  • Maintain the district's New Hire Document for all new hires technology needs.
  • Receive and route incoming calls and correspondence.
  • Perform usual office routines.
  • Type correspondence, notices, and reports.
  • Maintain a well-organized, up-to-date filing system.
  • Operate all business machines necessary to complete reports and clerical work required in the operation of the office.
  • Arrange meetings, prepare agendas, and handle follow-up activities as necessary.
  • Assist, log in, and direct visitors.
  • Maintain confidentiality as required and appropriate.
  • Perform other tasks related to the efficient operation of the office or as assigned by the Manager of Human Resources or Superintendent.
