About The Position

The Patient Care Coordinator II (PC II) functions as a member of the front desk team. The position performs administrative tasks and procedures to support the delivery of quality care to our intensive model clients. The PCC is responsible for assisting intensive patients in a compassionate and professional manner and ensuring efficient utilization of the intensive schedule. The position administers and coordinates all processes and procedures related to our intensive model of treatment. This position is anticipated to start in May 2026.

Requirements

  • Bachelor’s degree with 1-2 years’ experience in office manager-related work
  • Computer competence across the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, etc.) with the ability to quickly learn a variety of other online software systems
  • Strong organization skills
  • Ability to multitask, shift focus across tasks as needed, and manage priorities
  • Strong problem-solving skills
  • Confident and personable with the ability to get along with a wide range of personalities
  • Excellent customer service
  • Must love interacting with children

Nice To Haves

  • Working knowledge of patient records system (Raintree) preferred

Responsibilities

  • Greet clients and visitors, offering assistance and clinic tours to new weekly and intensive clients.
  • Assist clients in navigating the clinic and ensure they have the proper documentation for their appointments.
  • Support clients with the check-in process and ensure the collection of accurate patient information.
  • Manage and maintain confidential patient information, process intakes, and assist with documentation for relevant departments.
  • Coordinate with the Director of Rehabilitation and the clients to create and maintain the intensive therapy schedule.
  • Respond to patient inquiries and concerns, providing timely follow-up and excellent customer service.
  • Correspond with patients, parents, funding sources, and medical staff.
  • Routinely follow up with patients on the waiting list to let them know their status.
  • Handle all incoming calls and requests.
  • Assist with patient accounts, including processing payments, reviewing patient ledgers, and answering client questions regarding private insurance and other funding sources.
  • Assist with the maintenance and operation of the intensive program, including communication with families regarding schedules, paperwork, and all NAPA guidelines.
  • Complete the intensive therapy checklist and exit process.
  • Display empathy and develop rapport with clients and families to foster a supportive and positive environment.
  • Maintain open communication with the therapy team and medical professionals to ensure seamless operations.
  • Demonstrate leadership skills by contributing to the continuous improvement of clinic operations and patient experiences.
