About The Position

Intellectual Property Paralegal – Patent Prosecution HireNow Staffing is actively recruiting a seasoned, highly skilled Intellectual Property Paralegal to join one of our valued client partners. HireNow Staffing is acting as a direct placement partner for this intellectual property legal support role supporting a patent prosecution practice within a nationally recognized law firm environment . Position Overview The Intellectual Property Paralegal will support patent prosecution matters by managing patent filings, maintaining docket accuracy, and coordinating communications between attorneys, foreign associates, inventors, and clients. The role requires strong attention to detail and the ability to maintain strict compliance with patent filing deadlines while managing a high volume of intellectual property matters. This position requires familiarity with patent application preparation and submission processes across both U.S. and international jurisdictions. Candidates must demonstrate strong organizational skills, technical document management abilities, and the capability to maintain accuracy across multiple ongoing patent matters.

Requirements

  • Minimum 3+ years of patent prosecution experience in either a law firm or corporate legal department
  • Demonstrated experience preparing and filing U.S. patent applications
  • Experience managing patent docketing systems and deadline tracking
  • Strong organizational and documentation management skills within a high-volume environment
  • Proficiency using document management systems and patent docketing software
  • Strong working knowledge of Adobe Acrobat and related document preparation tools
  • Ability to manage multiple filing deadlines simultaneously while maintaining accuracy
  • Stable employment history with no pattern of job hopping

Nice To Haves

  • Experience preparing and filing international patent applications including PCT and national phase filings
  • Experience coordinating with foreign associates and international patent counsel
  • Prior experience supporting multiple patent attorneys within a law firm environment
  • Strong familiarity with USPTO filing procedures and communication protocols

Responsibilities

  • Prepare and file U.S. and international patent applications , including provisional, non-provisional, PCT, and national phase filings
  • Maintain and manage the patent docketing system , ensuring deadlines are properly recorded and monitored
  • Coordinate with attorneys, foreign associates, and clients regarding filing requirements and case updates
  • Draft and review USPTO-related documentation , including Office Action responses and Information Disclosure Statements (IDSs)
  • Prepare formal documentation from inventors, including Powers of Attorney and related filings
  • Track incoming communications from the United States Patent and Trademark Office (USPTO) and ensure timely responses
  • Maintain organized digital records within patent prosecution files and document management systems
  • Support attorneys across multiple patent matters while ensuring adherence to procedural and filing requirements
