About The Position

The Intake Specialist serves as a patient advocate and facilitates the process that allows for access to life changing care for members of the community. The Intake Specialist is a professional who serves as the first point of contact at the facility for all patients and families seeking services. Intake Specialists work within a collaborative team including physicians, providers, other intake specialists and many other members of a multidisciplinary team. The Intake Specialist gains career experience to develop and progress with a nationally recognized behavioral health leader. Recent college graduates who want to pursue a career in mental health are strongly encouraged to apply!

Requirements

  • High school diploma or equivalent required.
  • Computer skills required, including word processing.

Nice To Haves

  • Bachelor’s degree preferred.
  • Mental Health experience preferred.
  • Previous experience in insurance, billing preferred.
  • Valid driver’s license preferred and must be granted insurable status by the Rogers insurance policy. (Oconomowoc Only)

Responsibilities

  • Welcome patients and caregivers, ensuring a positive and seamless admission process.
  • Collect, verify, and input medical, insurance, and demographic information with accuracy.
  • Explain and complete admission paperwork, obtaining required signatures (e.g., patient rights, consent forms).
  • Register patients and manage documents using the Cerner system.
  • Conduct safety checks and assist with belongings searches as needed.
  • Manage patient interactions in crisis situations, maintaining a calm and welcoming environment.
  • Facilitate unscheduled admissions, including screenings and scheduling in collaboration with Patient Access.
  • Communicate with multidisciplinary teams to address clinical criteria, documentation, and treatment issues.
  • Ensure compliance with HIPAA, EMTALA, and other regulatory requirements.
  • Explain insurance coverage to patients and handle related inquiries.
  • Provide clear documentation and communicate cases requiring special attention.
  • Participate in on-call, weekend, and holiday coverage as scheduled
  • Professional demeanor and adherence to hospital policies.
  • Knowledge of Joint Commission standards and willingness to participate in training.
