About The Position

Odyssey House is seeking a Full-Time Intake Coordinator for our Criminal Justice Program! Summary: The Intake Coordinator is the first point of connection for clients entering our recovery programs. This role blends compassion with precision — ensuring individuals feel welcomed and supported while maintaining accurate records, organized systems, and smooth coordination across teams. Requirements

1+ years of experience in an administrative, intake, or coordination role
Strong technical skills, including: Spreadsheet proficiency (Excel or Google Sheets — formulas, sorting, tracking), Comfort learning databases or case management systems
Exceptional organizational skills and attention to detail
Ability to manage confidential information with discretion
Strong written and verbal communication skills
Ability to balance compassion with boundaries in a recovery-focused environment
Employment offers are contingent upon successful completion of required pre-employment screenings, which may include background checks, fingerprinting, applicable sex offender registry screenings for Adult Residential roles, and other position-related verifications. Roles requiring driving are subject to a Motor Vehicle Record (MVR) review and valid Utah driver’s license.

Ability to lift up to 15 lbs., drive (or adequate alternate transportation), sit for prolonged periods, and perform light to moderate physical activity at times.

Responsibilities

Serve as the liaison between Jail staff and courts regarding new clients
Serve as the primary contact for new referrals and program inquiries
Conduct intake screenings and collect required documentation
Schedule assessments, orientations, and program placements
Maintain professional, trauma-informed, and recovery-aware communication
Enter and maintain accurate client data in databases and tracking systems
Manage spreadsheets for referrals, enrollment status, waitlists, and reporting
Ensure documentation compliance with organizational and funding requirements
Generate routine reports for program and leadership teams
Collaborate with case managers, clinicians, and program staff to ensure smooth onboarding
Track deadlines, follow-ups, and required paperwork
Maintain organized digital and physical files
Support audits and program reporting needs
Maintain client updates and information to courts, legal and collateral contacts
