The Opportunity The Bilingual Intake Administration Specialist supports the intake team by handling high-volume document follow-up, client outreach, intake auditing, and administrative tasks to ensure files are accurate, complete, and ready for next steps. Training & Work Schedule (Includes Holidays & Weekends) Training Schedule: Monday - Friday from 8:30am - 5:30pm (3 weeks) Shifts Days: Tuesday – Saturday, or Sunday - Thursday. Shifts: 10:00am-7:00pm, 12:00pm - 9:00pm, 3:00pm - 12:00am, or 11:00pm - 8:00am

Requirements

  • Bilingual in English and Spanish preferred
  • Experience in intake, client service, administrative support, or legal support preferred
  • Strong attention to detail and proofreading skills
  • Ability to manage high-volume work in a fast-paced environment
  • Strong written and verbal communication skills
  • Comfortable handling sensitive and confidential information
  • Proficient in Salesforce (Litify preferred), Microsoft 365, Zoom, and DocuSign
  • Strong organization, follow-up, and time management skills

Responsibilities

  • Handle 100+ intake-related requests daily
  • Follow up with clients for signed retainers, W-9s, and other required documents
  • Conduct bilingual outreach to obtain missing information and signatures
  • Review and audit intake documents for accuracy, completeness, and errors
  • Proofread client-facing documents and intake materials
  • Listen to recorded intake calls to gather missing information and support quality control
  • Scan, upload, and organize case documents in Litify/Salesforce
  • Prepare and mail drop letters, including printing and scanning documents
  • Prepare client care packages and other administrative materials
  • Maintain accurate client and case records in Litify/Salesforce
