About The Position

The Insurance Program / Finance Associate supports the administration of company insurance programs, including Owner-Controlled Insurance Programs (OCIP), Contractor-Controlled Insurance Programs (CCIP), general liability, workers’ compensation, and other lines of coverage, ensuring compliance and accurate documentation. The role also assists with bonding, certified payroll, financial documentation related to Letters of Intent (LOIs), and claims tracking, while serving as a key liaison between project teams, vendors, and internal departments.

Requirements

  • Associate’s or Bachelor’s degree in Business, Finance, Insurance, or a related field preferred.
  • 3+ years of experience in insurance program administration, finance, preferably in construction.
  • Excellent verbal and written communication skills, with the ability to work across departments.
  • Excellent interpersonal and customer service skills.
  • Strong organization, record-keeping, and follow-through skills.
  • Able to identify inconsistencies or missing elements in documentation and resolve them proactively.
  • Proficiency in Microsoft Office, especially Excel
  • Familiarity with OCIP/CCIP structures and COI compliance standards.

Nice To Haves

  • experience with tools like myCOI, CertFocus, or WrapPortal is a plus.

Responsibilities

  • Insurance Program Administration: Manages enrollment, onboarding, and communication with subcontractors/vendors for OCIP/CCIP programs. Tracks and maintains up-to-date records of policies, endorsements, renewals, and exclusions. Reviews and validates Certificates of Insurance (COIs) for compliance with contract terms and company requirements.
  • Compliance & Documentation: Maintains and updates insurance logs, databases, and reporting systems. Prepares and distributes program guides, manuals, FAQs, and enrollment instructions. Assists with audits (internal, insurer, or regulatory) by gathering and organizing documentation. Ensures all program files comply with internal standards and external regulations.
  • Communication & Support: Serves as a primary point of contact for project teams, vendors, and internal stakeholders on insurance matters. Collaborates with legal, finance, and project management teams to resolve insurance-related issues. Provides training and support materials to internal staff on insurance procedures and best practices. Monitors and tracks claims activity, coordinating with Legal and Finance for proper documentation and updates.
  • Financial Support: Requests and manages documentation for payment, performance, and bid bonds. Prepares bonding letters and reconcile close-out bonds upon project completion. Oversees OCIP/CCIP-related certified payroll reporting, ensuring accuracy and contract compliance.
  • Performs other duties as assigned.
