About The Position

We are seeking a highly organized and detail-oriented Install Coordinator to manage and oversee all rebate processing and installation administrative functions for our residential HVAC, plumbing, and electrical divisions.With updated rebate submission requirements allowing only 30 days for processing, this role is critical to ensuring all paperwork, documentation, and compliance requirements are submitted accurately and on time. Requirements

  • Previous experience in HVAC, plumbing, electrical, construction, or home services industry preferred
  • Experience with rebate processing strongly preferred
  • Highly detail-oriented and deadline-driven
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and CRM/dispatch software
  • Ability to manage multiple projects simultaneously
  • Self-motivated and able to work independently
  • Experience with Service Titan preferred
  • Strong follow-up habits
  • Process-oriented mindset
  • Ability to hold others accountable for required documentation
  • Comfortable communicating with customers, utility companies, and manufacturers
  • Ability to problem-solve quickly when documentation is missing or incorrect

Responsibilities

  • Track and manage all manufacturer, utility, and distributor rebate programs
  • Ensure all rebate documentation is collected, completed, and submitted within 30-day deadlines
  • Audit install paperwork for accuracy and completeness prior to submission
  • Communicate with installers, sales team, and customers to obtain missing documentation
  • Maintain organized digital and physical rebate files
  • Monitor rebate status and follow up on pending submissions
  • Resolve rejected or incomplete rebate applications
  • Stay current on rebate program changes and eligibility requirements
  • Provide all rebate info updates to Install Coordination team as well as the Sales team.
  • Review install packets for completeness (permits, invoices, AHRI certificates, serial/model numbers, etc.)
  • Schedule inspections when needed
  • Communicate with customers regarding required documentation
  • Coordinate internally with sales, install crews, and accounting
  • Assist with close-out process for completed jobs
