About The Position

The Install Coordinator is responsible for planning, scheduling, and preparing all installation work for Archetype’s custom signage projects. This role ensures that the right installers, equipment, materials, permits, and site information are in place before any crew is dispatched — whether the work is performed by Archetype’s internal installation team or by approved subcontractors. This position acts as the operational bridge between Project Management, Production, and Installation, ensuring installs happen on time, on budget, and without field surprises.

Requirements

  • 3+ years in installation coordination, project coordination, or field operations (signage, construction, or manufacturing preferred)
  • Experience scheduling crews, trades, or subcontractors
  • Strong understanding of: Custom fabrication Construction sites Logistics and field operations
  • High attention to detail and ability to manage many moving parts
  • Comfortable working with Project Managers, Production teams, and installers
  • Ability to prioritize and adapt in a fast-moving environment

Responsibilities

  • Installation Scheduling & Capacity Management Build and maintain the master installation calendar for Archetype.
  • Schedule all internal install crews based on: Project readiness Labor availability Equipment and vehicle availability Site constraints and deadlines
  • Identify when internal capacity or tooling is insufficient and coordinate approved subcontract installers.
  • Balance workload to minimize overtime, travel inefficiencies, and idle time.
  • Subcontractor Coordination Maintain a roster of approved sub-installers, including: Capabilities (electrical, cranes, bucket trucks, etc.) Certifications and insurance Coverage areas
  • Request, review, and compare subcontractor quotes.
  • Schedule subs, issue work orders, and provide them with full job packets.
  • Create and maintain subcontractor PO’s.
  • Track sub-installer performance, quality, and responsiveness.
  • Pre-Install Readiness & Kitting Ensure every installation is fully staged before it is to be installed: Signs fabricated and inspected Hardware, brackets, templates, and fasteners included Power supplies, wiring, and electrical components accounted for Permits, drawings, and site contacts confirmed
  • Coordinate with Production, Shipping, and Project Management to stage, kit, and verify materials.
  • Prevent “missing parts” field failures.
  • Documentation & Project Information Prepare and distribute install packets including: Approved drawings Site photos and surveys Contact lists Permits and access instructions
  • Ensure installers (internal and subcontracted) have everything they need before leaving the shop.
  • Field Communication & Issue Resolution Serve as the main point of contact for installers during installs.
  • Respond to field issues: Missing items Site conflicts Change orders Safety or access issues
  • Coordinate quick solutions with Project Managers, Production, or vendors.
  • Post-Install Closeout Confirm completion status, punch lists, and photos.
  • Collect subcontractor invoices and validate against work performed.
  • Provide installation feedback to Project Managers for customer close-out.
  • Capture field notes for future reorders, warranty work, or lessons learned.
  • Process & Continuous Improvement Track install metrics such as: On-time completion First-time install success rate Subcontractor quality Re-visit and re-work causes
  • Improve standard work for install readiness, kitting, and scheduling.
  • Help reduce field failures, rush shipping, and emergency labor costs.
