About The Position

This role manages incoming customer communications, coordinates and schedules inspections, and oversees the full lifecycle of service work orders. You’ll maintain accurate documentation in the CRM, support resource planning with management and sales, and ensure a professional, customer‑focused experience.

Requirements

  • High School diploma, GED, or equivalent.
  • One to three years of customer service-related experience.
  • Multi-line phone experience.
  • Flexible and dependable.
  • Ability to read and comprehend simple instructions, short correspondence, and emails.
  • Ability to effectively interact with customers, potential customers, and branch personnel.
  • Ability to adapt to changes in work environment, delays or unexpected events; change approach or method to best fit the situation.
  • Self-Motivated and have a professional attitude.
  • Excellent customer service and interpersonal/listening skills.
  • Must possess good decision-making skills, be organized and detail oriented.

Nice To Haves

  • Familiarity with life safety systems (preferred)
  • Experience with managing invoices/billing experience (preferred)

Responsibilities

  • Answers incoming phone calls from customers both internal and external
  • Responds to inquiries via phone and email in a timely and efficient manner and provide accurate information to both customers and employees
  • Assigns and schedules inspection requests from clients
  • Responsible for the life cycle of inspections ticket/work order (creates, edits, completes and invoice service orders).
  • Follows documented processes to save reports and files to customer files
  • Accurately notates and documents work in CRM (Sedona)
  • Works closely with the management and sales for resource and project planning.
  • Always Demonstrates a commitment to Guardian Security values and professionalism through appropriate conduct at all times.
  • Performs other coordinator duties as assigned.
