About The Position

At Visiting Angels Home Care, we’re looking for an Intake Coordinator who is more than a skilled communicator — we're seeking someone who leads with empathy, listens with patience, and understands the emotional weight of choosing care for a loved one. You’ll be the first voice families hear when they reach out. And that voice matters.

Requirements

  • At least 7 years of experience in customer service, intake, or care coordination, or phone-based sales.
  • A natural ability to connect with others over the phone — especially during emotional or stressful times.
  • Exceptional listening and communication skills, with a gift for translating complex needs into real solutions.
  • Empathy, warmth, and patience — you lead with heart and follow through with professionalism.
  • Strong organizational and critical-thinking skills, able to manage multiple tasks without losing sight of the human side of your work.
  • Comfort using database software and managing digital records accurately and securely.

  • Experience or familiarity with home care, senior services, or healthcare is a big plus — but if you’re quick to learn and deeply compassionate, we’ll train you.

Responsibilities

  • Handle all incoming inquiries with warmth and professionalism. Make every caller feel heard, supported, and confident that they’ve found the right place.
  • Conduct in-depth phone assessments to uncover each client’s unique care needs — from health conditions to emotional concerns. You'll ask the right questions and listen between the lines.
  • Guide clients and families through our services, answer questions with clarity and kindness, and turn uncertainty into comfort and confidence.
  • Document all interactions accurately in our system and maintain clear, confidential records — so the care team can do their best work, too.
  • Work closely with our scheduling team to give the advanced information about the right caregiver of each client, based on needs, preferences, and personalities.
  • Check in with families post-intake to ensure satisfaction, and provide that steady, reassuring presence they’ve come to rely on and ensure 360 degree feedback. Check in with families who are still trying to make decisions.
  • Collaborate with assisted living facilities, hospital discharge planners, rehab centers, and healthcare professionals to ensure smooth referrals — and to spread the word about the compassionate care we offer.
