About The Position

Responsible for scheduling of chemotherapy, blood, iron, hydration, antibiotics and other hematology/oncology related and general infusion treatments as well as performing front office responsibilities such as checking in patients and answering the phone. Hours are M-F, no weekends or holidays. To provide coordination for infusion scheduling that facilitates needs of the infusion center, Medical Oncology, Radiation Oncology, and patient in planning, provision, and documentation of oncology care. Job Description 1. Fiscal a. Collaborate with Medical Oncology, Radiation Oncology, Pharmacy, Lab, other providers and offices and Patients to efficiently schedule general and hematology and oncology infusions and office visits. b. Ensure schedules are created in a way to enhance productivity and patient experience c. Provide documentation/communication/scheduling assistance in the order of priority and re-prioritizes as designated by the director or designee d. Utilize time keeping system and leave shift on time e. Manage/order department office supplies and ensures appropriate materials are available when needed f. Maintain basic understanding of authorization process and ensure treatments are fully authorized before scheduling 2. Quality a. Support leadership in implementation of scheduling to enhance infusion center capacity and provide quality, cost-effective care b. Facilitate planning, provision and documentation of patient care per request of providers and ancillary departments c. Possess ability to problem solve, think creatively, and multitask within their scope of practice d. Support processes looking at the patient experience and quality patient care e. Accept and delegate tasks appropriately and promote teamwork f. Remain up to date with policy changes and new scheduling modalities g. Maintain knowledge of chemotherapy regimens, hematologic treatments, and scheduling guidelines 3. Patient Satisfaction a. Promote patient satisfaction and provide service recovery as indicated b. Provide timely response to patient needs c. Maintain professional environment and keep noise to a minimum at all times d. Exemplify excellent guests' relations to patients, visitors, providers, and co-workers e. Facilitate patient flow with changes to daily infusion schedules f. Effectively communicate with Medical Oncology, Radiation Oncology, and Nurse Navigation to minimize disruptions to patients and provide a seamless oncology treatment experience 4. Patient Safety a. Schedule and communicate care needs set by the provider and their office b. Obtain and update correct demographic patient information c. Maintain accurate infusion and lab schedule in a current and organized format providing information of client flow d. Adheres to HIPAA and follow social media policy e. Completes front office responsibilities including answering the phone, completing patient check in, copayment collection, and updating demographic information 5. Professional Growth a. Share knowledge and skills with colleagues and others including orientation and cross-training b. Demonstrate leadership and is a resource for peers c. Identify professional needs and collaborates with management for learning opportunities for self and for the unit d. Participate in development and implementation of departmental goals e. Collaboration with nursing, pharmacy, and providers to optimize patient infusion schedule. Professional communication and positive attitude; Initiative to solve problems independently and think critically and creatively. Requires a basic knowledge and understanding of oncology management, chemotherapy treatment plans, hematologic care, laboratory and symptom management needs, imaging and provider assessment requirements, insurance authorizations, clerical work, and computer proficiency.
